Position Summary
The Staff Accountant is responsible for supporting the financial operations of the organization by maintaining accurate accounting records, preparing financial reports, managing accounts receivable, assisting with budgeting and forecasting, and ensuring compliance with company policies and accounting standards. This position works closely with department managers to provide timely financial information and analytical support that assists in sound business decision-making.
Essential Duties and Responsibilities
Financial Reporting & General Ledger
- Prepare accurate monthly, quarterly, and annual financial statements, including Profit & Loss Statements, Balance Sheets, and supporting schedules.
- Maintain general ledger accounts and ensure transactions are properly recorded.
- Prepare and post journal entries.
- Perform monthly account reconciliations and investigate discrepancies.
- Assist with month-end and year-end close processes.
- Analyze financial results and identify significant variances from budget or prior periods.
Profit & Loss Management
- Prepare and distribute departmental and company Profit & Loss statements.
- Review revenue and expense trends.
- Analyze operating performance and recommend improvements.
- Assist department managers in understanding financial performance.
- Prepare variance analyses comparing actual results to budget and forecast.
Accounts Receivable
- Monitor customer accounts to ensure timely collections.
- Review aging reports and follow up on overdue balances.
- Reconcile customer accounts.
- Research billing discrepancies.
- Coordinate with operational departments to resolve payment issues.
- Assist with bad debt analysis and reserve recommendations.
Budgeting & Forecasting
- Assist in developing annual operating budgets.
- Maintain departmental budgets.
- Monitor budget performance throughout the year.
- Prepare monthly budget-to-actual analyses.
- Support forecasting and financial planning activities.
- Work with department managers to improve financial forecasting accuracy.
Invoice Review & Approval
- Review invoices for coding accuracy and proper approvals.
- Ensure expenditures comply with company policies.
- Verify supporting documentation before processing payments.
- Assist management with purchase approval compliance.
- Monitor spending against approved budgets.
Financial Analysis
- Prepare recurring financial reports for leadership.
- Analyze operating expenses and identify cost-saving opportunities.
- Assist with cash flow reporting.
- Prepare ad hoc financial analyses and reports.
- Support strategic decision-making through financial modeling.
Compliance & Internal Controls
- Ensure compliance with GAAP and company accounting policies.
- Maintain accurate supporting documentation.
- Assist with internal and external audits.
- Support continuous improvement of accounting procedures and internal controls.
- Ensure confidentiality of financial information.
Qualifications
Education
- Bachelor's Degree in Accounting, Finance, or related field required.
Experience
- 3–5 years of accounting experience required.
- Experience preparing financial statements and P&L reports.
- Experience with accounts receivable management.
- Budget preparation and financial forecasting experience.
- Experience performing account reconciliations.
- Experience with month-end close.
- Multi-company or multi-entity accounting experience preferred.
- Property management, construction, or service industry experience is a plus.
Knowledge, Skills & Abilities
- Strong understanding of GAAP.
- Excellent analytical and problem-solving skills.
- Strong attention to detail.
- Advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, and financial modeling.
- Experience using accounting software (QuickBooks Enterprise, Sage Intacct, Microsoft Dynamics, NetSuite, or similar ERP systems).
- Ability to interpret financial data and communicate findings to non-financial managers.
- Excellent organizational and time management skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- High level of integrity and confidentiality.

- Experience with budgeting software.
- Experience in a multi-entity organization.
- Experience creating dashboards and KPI reporting.
- Experience with payroll allocations and intercompany accounting.
- Knowledge of fixed asset accounting.
- Complete month-end close accurately and on schedule.
- Provide meaningful financial analysis to department leaders.
- Maintain compliance with company accounting policies and GAAP.
- Identify opportunities to improve accounting processes and internal controls.
Pay: $45,000.00 - $50,000.00 per year
