Job Summary
We are seeking a professional, organized, and customer-focused Yacht Service & Administrative Coordinator to support our luxury yacht charter operations. This role combines exceptional guest service with administrative responsibilities to ensure a seamless experience for both clients and charter partners.
The ideal candidate is personable, detail-oriented, thrives in a fast-paced luxury hospitality environment, and is comfortable interacting with high-end clientele. Mandarin Chinese proficiency is strongly preferred.
Responsibilities
Guest Services:
- Welcome guests upon arrival and provide a warm, professional boarding experience.
- Assist with guest check-in and departure procedures.
- Ensure guests are comfortable throughout the charter and respond promptly to service requests.
- Coordinate with the captain and onboard crew to deliver exceptional customer service.
- Maintain a clean, organized, and presentation-ready guest environment.
- Handle guest inquiries and resolve issues professionally and efficiently.
Client & Broker Communication:
- Serve as a primary point of contact for charter clients before and after each booking.
- Communicate with yacht charter brokers regarding bookings, itinerary updates, special requests, and operational details.
- Coordinate guest preferences, catering, entertainment, and other charter arrangements.
- Follow up with clients to ensure satisfaction and encourage repeat business.
Administrative Responsibilities:
- Maintain and reconcile petty cash records.
- Track operational expenses and submit reports.
- Coordinate maintenance schedules and communicate with vendors and service providers.
- Maintain inventory of onboard supplies and place orders as needed.
- Organize charter documentation, guest records, invoices, and operational files.
- Assist with scheduling, calendars, and day-to-day office administration.
- Support management with special projects and operational improvements.
Qualifications
- Previous experience in hospitality, luxury service, yacht operations, event management, or customer service preferred.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Fluent English required.
- Mandarin Chinese proficiency strongly preferred.
- Professional appearance and positive attitude.
- Comfortable working flexible hours, including evenings, weekends, and holidays based on charter schedules.
- Proficient in Microsoft Office, Google Workspace, and common communication platforms.
- Ability to work independently while maintaining attention to detail.
Preferred:
- Experience in luxury hospitality, private clubs, hotels, nightlife, or yacht charter operations.
- Knowledge of New York yacht charter industry.
- Experience working with CRM systems or booking platforms.
- Basic bookkeeping or accounting experience.
