Job Overview
The Logistics Assistant provides administrative and operational support to the Shipping Logistics and Operations team, helping ensure the accurate coordination and timely flow of shipments, documentation, and customer communications. This position works closely with customers, Operations and Warehouse teams, to verify shipment information, monitor daily activities, and provide exceptional customer service throughout the logistics process. In addition to logistics responsibilities, the Logistics Assistant serves as the front desk representative, welcoming visitors, drivers, and clients while maintaining a professional reception area and supporting general office administration.
The ideal candidate is highly organized, detail-oriented, proactive, and eager to learn. Success in this role requires excellent communication skills, the ability to multitask in a fast-paced environment, and a commitment to delivering accurate information to both internal teams and customers.
Key Responsibilities:
Logistics & Operations Support
- Provide daily administrative support to the Logistics and Operations teams.
- Verify shipment information, documentation, inventory records, and operational details before communicating updates to customers.
- Monitor shipment status and proactively follow up on customer requests.
- Maintain accurate communication with customers regarding shipment status and service updates.
- Work closely with warehouse an operations personnel to verify operational information and ensure shipment accuracy.
- Coordinate communication between customers and Operations to facilitate efficient workflow.
- Identify discrepancies and communicate them promptly to the appropriate department for resolution.
- Support continuous improvement of logistics processes and customer service.
Customer Service
- Provide exceptional customer service through phone, email, and in-person interactions.
- Respond promptly and professionally to customer inquiries.
- Build positive relationships with customers by providing accurate and timely information.
- Escalate service or operational issues when appropriate while ensuring proper follow-up.
Front Desk & Office Support
- Serve as the first point of contact for visitors, clients, drivers, and vendors.
- Answer and direct incoming phone calls and emails.
- Manage incoming mail.
- Maintain a professional, organized, and welcoming reception area and conference room.
- Assist with general administrative tasks and filing.
Office Coordination
- Maintain inventory of office, kitchen, and breakroom supplies.
- Distribute office supplies to employees and maintain organized storage areas.
- Restock common areas and kitchen supplies.
- Coordinate office supply purchases and place orders as needed.
- Ensure common areas remain organized, and presentable.
Required Skills and Qualifications:
- Strong verbal and written communication skills in English and Spanish.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Previous experience in customer service, logistics, or administrative roles preferred.
- High school diploma or equivalent; additional education is a plus.
- Ability to multitask and work efficiently in a fast-paced environment.
- Ability to resolve customer and operational issues efficiently.
- Strong organizational skills and attention to detail.
- Excellent punctuality and professional appearance.
- Positive attitude, willingness to learn, and strong work ethic.
- Strong interpersonal skills and the ability to work collaboratively in a team.

Schedule:
- 8 hour shift / M-F 8:00am to 5:00pm – 1 hour lunch ( On site)
Pay: $18.00 per hour
