JOB SUMMARY

Under direction of the Clinic Practice Manager, performs a variety of clerical tasks in support of services provided to patients and is the first contact by the prospective patient with the clinic; works collaboratively with other clinic staff members, fostering an efficient healthcare environment which promotes patient comfort and trust. Exemplifies the mission, vision, and core values of HCHD while exercising utmost discretion, diplomacy, and tact in patient/staff interactions.

MAJOR RESPONSIBILITIES

Exercises utmost diplomacy and tact in providing excellent customer service for patients; practices confidentiality and privacy protocols in accordance to HCHD policies and HIPAA requirements.

Welcomes and greets patients/visitors to the clinic in a manner that is helpful and friendly; determines purpose of visit and directs patients/visitors to appropriate person or department(s).

Provides information to clinic callers in keeping with established guidelines and procedures; transfers telephone calls as needed and works with the Clinic Practice Manager to ensure adequate phone coverage at all times.

Schedules patient flow to the clinic based on established appointment arrangements to allow the clinic staff to serve an adequate number of patients.

When scheduling appointments, carefully screens patients for information required to provide the best healthcare service possible (e.g., current contact information, new or existing patient record, etc.); informs patients concerning information required by the clinic of each at time of visit.

Calls scheduled patients daily to confirm the next day’s appointments.

Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat.

May inform patients of existing balances due, and/or request patients prepare for payments due at times of visit.

Performs day-to-day office administrative functions and general office duties including but not limited to: word processing, copying, filing, faxing, answering phones, end of day reconciliation, and data entry.

May verify method of payment for service (Medicaid, Medicare, private insurance, private payee, etc.) and collect data and/or payment as appropriate.

Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to Clinic Manager as needed.

Attends scheduled HCHD and clinic staff meetings.

Adheres to all HCHD policies for safety and security.

Performs other duties as may be required.

Other Requirements:

Understands HIPAA standards and the importance of maintaining confidentiality.

Must have the ability to exercise a high degree of diplomacy and tact; able to provide excellent customer service and interpersonal communication; and, awareness of cultural sensitivity toward diverse people groups.

Well-developed verbal and written communication skills in English (and prefer Spanish).

Intermediate to advanced telephone skills; able to relate effectively via the telephone and in-person to serve the needs of patients/visitors in a manner that is efficient and productive.

Must be able to accommodate changes which may be experienced in the clinic; ability to work well under pressure and with minimal supervision at times.

Knowledge of basic math and modern office procedures; basic to intermediate computer knowledge and skills.

Training and/or experience with computer data entry and ability to type a minimum of 45 WPM.

Agrees to abide by clinic standards of conduct and Policy and Procedures.

ALL DUTIES AND REQUIREMENTS MUST BE PERFORMED CONSISTENT WITH THE HCHD PERFORMANCE STANDARDS.

Knowledge of rural healthcare clinic operations and challenges is a plus.
