Overview
The Logistics Coordinator supports the end-to-end flow of FF&E procurement and deliveries for project sites. This role focuses on managing vendor shipments, coordinating delivery schedules, tracking transportation, and ensuring accurate documentation—without handling any physical inventory. The coordinator ensures smooth communication between clients, suppliers, freight partners, and internal teams to keep projects on schedule.
Key Responsibilities
1. Shipment & Delivery Coordination
- Coordinate all inbound and outbound shipments directly between vendors and project sites, installation teams, or client locations.
- Track production lead times, freight timelines, and expected delivery dates.
- Maintain daily/weekly delivery schedules and communicate updates to project managers and clients.
- Verify delivery readiness with site teams (access, hours, special requirements).
2. Procurement Logistics Support
- Review purchase orders to confirm shipping details, lead times, and delivery instructions.
- Follow up with vendors to obtain order acknowledgments, shipping confirmations, packing lists, and tracking details.
- Ensure all products are shipped according to project specifications (packaging, labeling, consolidation needs).
3. Documentation & Compliance
- Maintain accurate logistics documentation including BOLs, COIs, packing lists, and delivery sign-offs.
- Update logistics trackers, shipping logs, and project schedules.
- Ensure all logistics records are properly stored and accessible as needed
4. Freight & Vendor Coordination
- Serve as the main point of contact between freight carriers, third-party logistics partners (3PLs), and vendors.
- Schedule pickups, coordinate consolidation shipments, and confirm white-glove or inside delivery services when required.
- Resolve freight issues such as delays, missing items, or damaged goods.
5. Issue Resolution & Escalation
- Identify potential shipping or delivery delays early and proactively notify the project manager.
- Track and manage freight claims and damaged shipment reports.
- Escalate major logistical blockers to leadership as required.
6. Client & Internal Communication
- Provide timely updates on shipment status to internal teams and clients.
- Prepare weekly logistics reports, delivery schedules, and status summaries.
- Coordinate with installation teams to sequence deliveries based on project timelines.
Required Skills & Qualifications
- 0-2 years of experience in logistics, supply chain, procurement, or FF&E coordination.
- Proficiency in Microsoft Excel and Microsoft Word
- Strong organizational and time-management skills.
- Excellent communication and vendor-management skills.
- Skilled in writing clear, structured, and actionable emails for vendor coordination, client updates, and issue resolution.
- Ability to manage multiple shipments, vendors, and deadlines simultaneously.
Preferred Qualifications
- Experience in FF&E, interior design, hospitality, or construction logistics.
- Knowledge of project-based procurement models (drop-ship, direct-to-site).
- Familiarity with freight terminology, carrier portals, and logistics documentation.

Pay: $14.00 - $18.00 per hour
