An luxury diamond brand is a seeking a polished, organized, and service-oriented Receptionist / Office Coordinator to support the day-to-day operations of a busy executive office. This role serves as the first point of contact for visitors, clients, and vendors while helping ensure the office operates smoothly and efficiently.
This is a hands-on role in a private executive office environment. Responsibilities range from traditional reception and administrative support to hospitality, coordination, and special projects. The successful candidate will be comfortable handling a wide variety of tasks, take pride in being highly dependable, and understand that exceptional service often involves both strategic coordination and day-to-day execution.
Key Responsibilities
- Reception & Office Administration
- Greet visitors and create a welcoming, professional environment
- Answer and direct incoming phone calls
- Manage incoming and outgoing mail, packages, and deliveries
- Coordinate conference room scheduling and meeting preparation
- Maintain reception, conference rooms, and common office areas
- Order and maintain office supplies and refreshments
- Assist with filing, recordkeeping, and general administrative tasks
- Coordinate lunches, refreshments, catering, and hospitality for meetings and guests
- Set up meeting rooms and dining areas before meetings and meals
- Clear tables and meeting spaces following meals and events
- Assist with event and meeting logistics
- Coordinate vendor and service provider visits as needed
- Administrative & Executive Support
- Assist with scheduling, appointments, and calendar coordination
- Coordinate communications with schools, camps, tutors, and service providers as requested
- Track and organize business and personal expenses and related documentation
- Conduct research and assist with special projects
- Run occasional business-related errands as needed
Qualifications
3+ years of experience in a receptionist, office coordinator, hospitality, customer service, executive support, or similar role
Excellent organizational and multitasking skills
Professional demeanor with a strong customer-service orientation
High level of discretion and confidentiality
Proficiency with Microsoft Office and Google Workspace
Ability to adapt to changing priorities and work independently
Preferred Backgrounds
Candidates with experience in hospitality, hotel operations, restaurant management, event coordination, luxury retail, customer service, office administration, or executive support are encouraged to apply.
