Duties
- Coordinate and maintain detailed schedules for multiple team members or departments, ensuring optimal time management
- Manage appointment bookings, confirmations, and rescheduling using tools like Microsoft Office and Google Workspace
- Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
- Handle front desk responsibilities, including greeting visitors, managing check-in processes, and directing inquiries
- Perform data entry, filing, and document proofreading to ensure accuracy in all records and communications
- Support office management tasks such as organizing files, managing supplies, and assisting with bookkeeping using QuickBooks or similar software
- Provide administrative assistance including calendar management, email correspondence, and supporting personal assistant duties as needed
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems, front desk operations, and phone etiquette
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management
- Knowledge of QuickBooks or bookkeeping software is advantageous for handling basic financial records
- Excellent time management skills with the ability to prioritize tasks efficiently
- Previous experience in medical or dental receptionist roles is beneficial but not required
- Strong computer literacy combined with excellent customer service skills to support a professional office environment
