Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, directing calls accurately and courteously
- Handle incoming correspondence, including emails and mail distribution
- Maintain the reception area’s cleanliness and organization to create a professional environment
- Support office management tasks such as filing, data entry, and document proofreading
- Assist with calendar management and scheduling appointments for staff members
- Provide customer support by answering inquiries and resolving basic issues efficiently
- Utilize computer skills including Microsoft Office, Google Workspace, QuickBooks, and other office software to perform administrative functions
- Support bookkeeping activities such as invoicing and basic bookkeeping using QuickBooks or similar tools
- Perform clerical duties like filing, photocopying, and maintaining office supplies inventory
Skills
- Proven experience in front desk operations and office management roles
- Strong proficiency with multi-line phone systems and phone etiquette
- Bilingual abilities are highly desirable to serve diverse clients effectively
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Demonstrated computer literacy in Microsoft Office Suite, Google Workspace, and data entry tools
- Exceptional customer service skills with a friendly demeanor and professional attitude
- Ability to type quickly with accuracy for data entry tasks
- Knowledge of clerical procedures including proofreading, filing, and document management
- Experience with bookkeeping software like QuickBooks is a plus
- Strong time management skills to handle multiple responsibilities seamlessly
- Personal assistant or administrative support experience is advantageous
