Our transaction coordinator must have a passion for service. We are creating a best in class transaction team to support our growth objectives. Our transaction coordinators must support our agents and team in differentiating themselves in a very saturated and competitive market. Repeat business is approximately half our business. The ideal candidate sees this role as more than transaction. They are passionate about our vision to unlock iconic living for our clients.
The Transaction Coordinator is responsible for managing every aspect of a residential real estate transaction from executed contract through closing.
This position serves as the operational hub between buyers, agents, lenders, title companies, inspectors, escrow officers, and vendors to ensure every transaction closes on time while delivering a five-star client experience.
What You'll Do - Transaction Management
- Manage all residential buyer transactions from contract to close.
- Write contracts for designated agents.
- Create and maintain transaction files in SkySlope and other company systems.
- Review contracts and disclosures for completeness and broker, and AZ DRE compliance.
- Monitor all contractual deadlines and contingency periods.
- Coordinate earnest money deposits.
- Track inspections, appraisals, financing, title, HOA documents, and closing requirements.
- Ensure all documentation is completed accurately and on time.
- Adhere to all partner requirements.
Client Experience
- Serve as the primary transaction contact for buyers throughout escrow.
- Provide proactive communication and weekly status updates.
- Answer client questions regarding the transaction process.
- Coordinate closing gifts and client appreciation initiatives.
- Deliver an exceptional customer experience from contract to closing.
Agent Support
- Partner closely with Buyer Specialists throughout the transaction.
- Keep agents informed of critical deadlines.
- Prepare documents for signatures through DocuSign.
- Coordinate amendments and contract addenda.
- Assist agents in resolving transaction issues before they become problems.
- Ensure all documentations and commissions are accurate so agents are paid correctly and timely.
Compliance
- Maintain complete broker compliance through SkySlope.
- Ensure all required Arizona disclosures are completed.
- Verify documentation before broker review.
- Maintain accurate digital transaction files.
Operations
- Keep CRM and reporting systems and transaction systems current.
- Update transaction milestones.
- Maintain accurate reporting dashboards.
- Leverage AI tools and automation to improve efficiency.
- Identify opportunities to improve systems and workflows.
Qualifications Required
- Minimum two years of Arizona residential real estate transaction coordination experience.
- Excellent understanding of Arizona purchase contracts.
- Exceptional organizational skills.
- Ability to manage 40–60 active transactions simultaneously.
- Outstanding written and verbal communication.
- Strong attention to detail.
- Ability to prioritize multiple deadlines.
