Position Summary
The Brokerage Coordinator provides administrative and transaction support to the brokerage team. This individual serves as a trusted resource for brokers by coordinating initiatives, maintaining property listings and databases, preparing proposals and presentations, assisting with transaction management, and supporting client communications.
Success in this position requires exceptional organizational skills, attention to detail, strong communication abilities, creativity, and the ability to manage multiple projects simultaneously while meeting deadlines.
Essential Duties and ResponsibilitiesBrokerage Support
- Provide day-to-day administrative support to assigned brokers and brokerage teams.
- Coordinate listing assignments from onboarding through transaction completion.
- Prepare listing agreements, commission agreements, letters of intent, proposals, and other brokerage documents.
- Maintain transaction files and monitor critical deadlines.
- Coordinate property tours, client meetings, and presentations.
- Conduct market research and gather property information.
- Assist brokers with prospecting initiatives and business development efforts.
- Maintain CRM databases and contact records.
- Process executed transaction documentation.
- Coordinate internal approvals and document routing.
- Maintain confidentiality of client and company information.
- Coordinate signage.
- Upload and maintain listings on multiple websites.
- Ensure all listing information remains current and accurate across marketing platforms.
- Assist with social media content and company marketing initiatives.
- Assist with special events and networking functions.
Research and Database Management
- Research comparable sales, lease transactions, demographics, ownership information, and market trends.
- Prepare aerial maps, demographic reports, and market surveys.
- Maintain property databases and internal marketing resources.
- Organize digital files and marketing assets.
Client Service
- Serve as a professional point of contact for clients, vendors, and business partners.
- Respond promptly to requests from brokers and clients.
- Maintain a high level of professionalism and responsiveness.
Qualifications
- Two or more years of administrative, marketing, sales support, or commercial real estate experience preferred.
- Commercial real estate experience is a plus but not required.
- Experience with CRM systems and database management.
- Experience with Canva is a plus.
- Proficiency in Microsoft Office including Word, Excel, Outlook, and PowerPoint.
- Experience with CoStar, LoopNet, Crexi, Buildout, or similar commercial real estate platforms is preferred.
