Position Overview:
Air Techniques, Inc. is seeking a dependable, organized, and detail-oriented Administrative Assistant to join our growing team. This position is ideal for someone who enjoys a variety of responsibilities, takes pride in keeping an office running smoothly, and provides excellent customer service.
The Administrative Assistant provides administrative support to company management and staff by handling daily office operations, coordinating communications, maintaining records, and assisting with accounting, inside sales and project administration.
· Position will report to the CFO and President of Air Techniques.
Position Functions and Requirements
- General Clerical Services
- Answer and direct phone calls, emails, and correspondence
- Organize and maintain filing systems (electronic and physical)
- Coordinate travel arrangements when required
- Prepare reports, spreadsheets, presentations, and other business documents
- Process incoming and outgoing mail, packages, and deliveries
- Support management and staff with administrative task
Book Keeping / Inside Sales
- Assist with accounts payable, accounts receivable, invoicing, and expense tracking
- Produces Invoices as jobs complete including responsibility to checkup on scheduled work.
- Produces Purchase Orders as requested by others or as necessary and submits for approval
- Produces Quotes as requested by others or as necessary and submits for approval
- Regularly checks incoming jobs and outgoing PO’s, invoices, etc. for prompt action
- Has a regular schedule for periodic tasks ( mail, Invoicing, Order follow up, etc)
- Maintains a Daily Checklist of tasks
- Completion of these tasks on old project files
- Perform other administrative duties as assigned.
- General office assistance to others as requested.
Skills & Qualifications:
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and Teams).
- Ability to multitask and prioritize work effectively.
- Strong attention to detail and accuracy.
- Able to troubleshoot problems and develop solutions.
- Professional appearance and positive attitude.
- Ability to work independently and as part of a team.
