We are seeking a highly organized and detail-oriented Risk Management Assistant to provide administrative support to a busy Risk Management department. This role is ideal for someone who thrives in a process-driven environment, enjoys managing multiple priorities, and has strong organizational and customer service skills. You will play an integral role in supporting trade contractor prequalification, insurance compliance, document management, and departmental operations while handling confidential information with professionalism and discretion.
Responsibilities:
- Manage the Risk Management hotline and department inboxes for prequalification and insurance inquiries
- Review trade contractor prequalification submissions for accuracy and completeness
- Process confidential financial request forms and monitor status updates
- Prepare, distribute, and track DocuSign agreements and maintain contractor files
- Maintain trade contractor directories, vendor information, and insurance records
- Perform compliance checks for prequalified trade contractors and insurance documentation
- Prepare monthly compliance reports and assist with departmental reporting
- Coordinate meetings, correspondence, and administrative documentation
- Assist with contractor onboarding through TradeTapp, BuildingConnected, myCOI, and related platforms
- Follow up with trade contractors to obtain missing documentation and respond to vendor support inquiries
- Maintain organized electronic filing systems and support additional administrative projects as needed
Qualifications:
- Minimum of 3 years of administrative support experience required
- Experience in construction, insurance, risk management, or a related industry strongly preferred
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- Typing speed of 60 WPM plus
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook
- Experience with document management systems, electronic filing, and data entry
- Ability to quickly learn construction-specific software including TradeTapp, BuildingConnected, myCOI, Egnyte, and DocuSign
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage confidential information with discretion
- Self-motivated, dependable, and able to work both independently and collaboratively in a fast-paced environment
