Position Summary
The Night Dispatcher reports directly to the Operations Manager. This position is responsible for overseeing PM shift operations and preparing the organization for a successful start to the next business day. This position is responsible for monitoring active deliveries, supporting drivers, planning and assigning PM routes, identifying operational challenges, and recommending improvements to route efficiency and service performance. The Night Dispatcher serves as a key communication link between drivers, dispatch personnel, and management while ensuring customer commitments, safety standards, and company objectives are met.
Key ResponsibilitiesRoute Planning and Optimization
· Assign and coordinate PM delivery routes to maximize efficiency while meeting customer requirements and delivery commitments.
· Review customer requirements, delivery windows, special instructions, and operational constraints when planning routes.
· Balance workloads among drivers while considering staffing levels, equipment availability, and delivery priorities.
· Utilize dispatch software, operational data, and driver feedback to identify opportunities for route improvement and increased efficiency.
· Adjust delivery routes as necessary to address staffing shortages, equipment issues, customer requests, driver's available hours, or changing operational needs.
Route Monitoring and Analysis
· Monitor active night routes to ensure deliveries are completed safely, efficiently, and on schedule.
· Collect and analyze operational data to identify trends, inefficiencies, and opportunities for continuous improvement.
· Analyze route outcomes to distinguish between performance issues and external factors such as traffic, weather, customer delays, or equipment concerns.
· Recommend operational improvements designed to increase driver productivity and route performance.
· Recommend operational improvements designed to decrease drive time.
Driver Support and Communication
· Serve as the primary overnight contact for drivers and provide guidance regarding operational issues.
· Respond to driver questions and assist in resolving delivery, routing, equipment, or customer concerns.
· Provide coaching, feedback, and documentation regarding performance-related matters.
· Escalate unresolved issues to the Operations Manager when appropriate.
· Identify training needs and recommend development opportunities for drivers.
Staffing and Operational Planning
· Track PTO requests and communicate potential staffing impacts to management.
· Anticipate coverage needs and identify staffing concerns that may impact service levels.
· Maintain accurate records of delays, equipment issues, service interruptions, and staffing gaps identified during overnight operations.
Communication and Collaboration
· Maintain open and proactive communication with the Operations Manager regarding route planning, driver performance, staffing concerns, and operational challenges.
· Coordinate with dispatch personnel and management to ensure a seamless transition between shifts.
· Support and implement management direction to achieve operational goals and service expectations.
Customer Service and Operational Support
· Support customer commitments through accurate route planning and timely communication.
· Assist in resolving service concerns and operational disruptions while maintaining a professional customer-focused approach.
· Produce and distribute a daily shift recap summarizing field activity, route performance, driver concerns, customer service issues, billing discrepancies, equipment issues, staffing concerns, safety matters, and any other significant operational events requiring management awareness or follow-up.
Field Support
· Employees who possess a valid Class A CDL may be utilized to support field operations, route evaluations, delivery site verification, emergency coverage, equipment repositioning, driver training activities, or other operational needs as directed by management.
· Required to conduct driver safety observations and perform visits to customer locations, delivery sites, terminals, and other operational facilities to assess operational issues, investigate service interruptions, evaluate routing concerns, verify compliance with company procedures, and provide support to drivers and field operations as needed.
Qualifications
· High school diploma or equivalent.
· 2 years of experience in transportation, dispatch, logistics, route planning, or fuel delivery preferred.
· Class A CDL with applicable endorsements required.
· Strong problem-solving skills with the ability to make quick decisions under pressure.
· Proficiency with dispatch software, routing tools, reporting systems, databases, and Microsoft Office Suite.
· Excellent verbal and written communication skills.
· Strong organizational, analytical, and time-management abilities with attention to detail.
· Working knowledge of DOT regulations, Hours of Service requirements, and transportation safety practices preferred.
· Ability to work overnight shifts in a fast-paced environment.
· Position requires eight hours per day with potential overtime and weekend availability.
Pay: $58,000.00 - $71,000.00 per year
