We are seeking a highly organized and proactive Operations Administrator to support our daily operations by coordinating employee administration, client communications, and field service dispatch.

Position Summary
The Operations Administrator is responsible for supporting the day-to-day operations of three affiliated companies by managing employee onboarding and offboarding, maintaining employment records, coordinating timesheets, communicating with clients regarding staffing changes, and dispatching Smart Hands technicians for customer service requests.
The ideal candidate is detail-oriented, customer-focused, and able to effectively prioritize multiple responsibilities while maintaining a high level of professionalism and confidentiality.
Key ResponsibilitiesHuman Resources Administration
- Coordinate employee onboarding and new hire documentation.
- Manage employee offboarding and termination paperwork.
- Maintain accurate and confidential personnel records.
- Review and manage employee timesheets for payroll processing.
- Ensure employment documentation is complete and up to date.
- Assist with HR administrative tasks and compliance requirements.
Client & Employee Coordination
- Serve as the primary point of contact for clients regarding staffing activities.
- Communicate new hires, staffing changes, and employee separations.
- Coordinate staffing requests with internal management and clients.
- Provide professional and timely communication with employees and customers.
Smart Hands Dispatch
- Schedule and dispatch Smart Hands technicians based on customer requests.
- Coordinate technician schedules and resource availability.
- Monitor work orders from assignment through completion.
- Communicate scheduling updates with customers and technicians.
- Track service requests and ensure timely completion.
Operations Support
- Support operational activities across three affiliated companies.
- Maintain operational reports, employee records, and tracking spreadsheets.
- Assist leadership with administrative and operational projects.
- Identify opportunities to improve internal processes and efficiency.
QualificationsRequired
- 2+ years of experience in administration, operations, HR support, dispatch, or a related role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism and discretion when handling confidential information.
- Proficiency with Microsoft Office, including Outlook, Excel, and Word.
- 4 year college degree in any discipline
Preferred
- Experience with employee onboarding and HR administration.
- Experience with payroll or timekeeping systems.
- Experience dispatching field service or technical resources.
- Experience working with HRIS or workforce management software.

Benefits
This position is offered as a full-time contract role. While contractors are not eligible for company benefits, this position has the potential to transition into a full-time employee role based on performance and business needs. Should the position convert to full-time employment, the employee may become eligible for the company's standard benefits package at that time.
Pay: $48,000.00 per year
