OVERVIEW
We are seeking a highly organized and proactive Estate & Venue Manager to oversee the daily operations of a prestigious private residence and event venue. The ideal candidate will possess extensive experience in household management, event planning, and property oversight, ensuring that all aspects of the estate function seamlessly. This role requires a professional with exceptional organizational skills, a keen eye for detail, and the ability to manage a diverse team of household staff while maintaining the highest standards of service, cleanliness, and confidentiality. The Estate & Venue Manager will be instrumental in coordinating events, supervising staff, and managing property maintenance to deliver an exceptional experience for residents and guests alike.
SKILLS
- Proven experience in estate or household management within private residences or luxury venues.
- Strong background in event planning with the ability to organize large-scale gatherings efficiently.
- Extensive knowledge of residential cleaning, housekeeping management, laundry services, and household staff supervision.
- Excellent schedule management skills to coordinate multiple activities seamlessly.
- Proficiency in driving various types of vehicles safely and confidently.
- Experience in childcare support combined with personal assistant responsibilities is highly desirable.
- Exceptional customer service skills with an emphasis on discretion and confidentiality.
- Strong organizational skills paired with supervisory experience to lead diverse teams effectively.
- Ability to handle administrative tasks efficiently using relevant software tools.
- Knowledge of property management practices along with hospitality industry standards.
DUTIES
- Oversee the day-to-day operations of the estate, including household management, maintenance, and security.
- Plan, coordinate, and execute private events and functions with precision and attention to detail.
- Supervise household staff such as housekeepers, chefs, drivers, and childcare providers to ensure high standards of service.
- Manage scheduling for staff and residents, including appointments, travel arrangements, and event timelines.
- Oversee cleaning routines—including residential cleaning, housekeeping management, and laundry—to maintain impeccable standards of cleanliness.
- Coordinate property maintenance and repairs to ensure the estate remains in excellent condition.
- Handle confidential information with discretion and professionalism at all times.
- Provide personal assistance to residents by managing administrative tasks, errands, organizing support staff as cooking, childcare support, and other personal needs as required.
- Ensure compliance with health and safety regulations across all areas of the estate.
- Drive residents or guests as needed while maintaining safe driving practices.
Tours and bookings
- Host site tours for engaged couples, families, and corporate clients, and follow up until they book
- Respond to inquiries quickly and warmly — most bookings are won or lost in the first 48 hours
- Prepare proposals, contracts, and booking paperwork; track deposits and payment schedules
- Maintain the event calendar and protect against double-bookings and turnaround conflicts
- Build and maintain relationships with planners, photographers, caterers, and other preferred vendors who send business our way
Event execution
- Serve as the on-site manager for events, typically Friday through Sunday during season
- Run the final walkthrough and day-of timeline with each couple and their planner
- Direct vendor load-in, setup, and breakout; enforce our vendor rules, insurance requirements, and noise and end-time restrictions
- Supervise event-day staff and be the decision-maker when something goes sideways — because occasionally it will
- Handle guest issues discreetly and keep problems away from the couple
Property oversight
- Oversee our grounds and maintenance crew: set priorities, schedule work around the event calendar, and hold quality standards
- Walk the property regularly and catch issues before a guest does
- Manage outside vendors and contractors — HVAC, plumbing, electrical, pest, pool, septic — including scoping work, getting bids, and verifying completion
- Track preventive maintenance schedules for buildings, systems, and equipment
- Manage the operating budget, approve invoices, and flag capital needs before they become emergencies
- Maintain compliance with permits, licensing, insurance certificates, and safety and occupancy requirements
What we're looking for
Required
- 3+ years managing a venue, hotel, club, restaurant, or comparable property where you were accountable for both the guest experience and the building
- Demonstrated success in a customer-facing sales or booking role — you're comfortable asking for the business
- Experience directing staff and outside vendors, and the confidence to hold a contractor to their scope
- Working knowledge of building systems and property upkeep; you don't need to swing the hammer, but you need to know when the answer you're being given is wrong
- Sound judgment under pressure, especially with alcohol served and a hundred-plus guests on site
- Strong written communication — much of your booking pipeline lives in email
- Comfortable with event management or CRM software, calendars, and spreadsheets
- Availability to work weekends, evenings, and holidays during event season. This is not occasional; it is the core of the schedule
- Valid driver's license and ability to move about the property, lift up to [XX] lbs, and be on your feet for a full event
Preferred
- Wedding or private-event venue experience specifically
- An existing network of local planners, caterers, and vendors
- Certification in responsible alcohol service (TIPS or equivalent) and food safety (ServSafe)
- Budget ownership or P&L exposure
- Basic photography or social media skills for keeping our listings and channels current
SCHEDULE
Tours are usually during the week and on weekends.
Event monitoring responsibilities are generally on weekends and can to until 2 AM. So flexible weekend availability is required to be a candidate for this position.
