K&M Administrative and Marketing Coordinator
Position Summary
The Administrative and Marketing Coordinator supports K&M’s marketing, customer service, office administration, course and event coordination, website management, employee administration, and Pro Shop order fulfillment.
This position requires strong organization, attention to detail, creativity, professional communication, and the ability to manage multiple priorities in a fast-paced environment. The coordinator works closely with K&M staff to keep information accurate, customers informed, records organized, and marketing and administrative projects on schedule.
Compensation, Schedule, and Benefits
This is a full-time, hourly position based on a 40-hour workweek. Annualized compensation begins at approximately $52,000, with significantly higher starting compensation available for an exceptional candidate who brings substantial relevant experience and can immediately take ownership of the position’s marketing, administrative, and operational responsibilities.
K&M is prepared to offer a highly competitive compensation package for a proven candidate with advanced marketing capabilities, strong industry experience, and the ability to contribute with minimal training or supervision.
The typical schedule is Monday through Friday, 8:00 a.m.–4:30 p.m., with a 30-minute unpaid lunch break. Occasional evening or weekend work may be required based on K&M’s course, match, event, and business schedules.
Hours worked over 40 in a workweek will be paid at one-half times the employee’s regular hourly rate in accordance with the fluctuating work week method and applicable law. Compensation increases may be considered based on performance, increased responsibilities, and the employee’s overall contributions to K&M.
The position includes three paid weeks off each year, generally consisting of two weeks around Christmas and one week during the summer.
K&M offers eligible employees participation in a SIMPLE IRA retirement plan, with employee contributions permitted up to the applicable annual limit and an employer match of up to 3% of compensation.
Primary Responsibilities
Marketing and Communications
- Create, schedule, and publish social media and email content promoting K&M courses, events, products, partnerships, and company updates.
- Design professional graphics and video for social media, email, and website use with PicMonkey, Canva, or similar software.
- Build, test, and send email campaigns using Brevo or a comparable email marketing platform.
- Write and proofread captions, announcements, promotional emails, event information, and calls to action while maintaining a consistent K&M brand.
- Gather and organize photos, videos, schedules, pricing, links, email lists, templates, and other marketing materials.
- Monitor customer engagement, route inquiries as needed, and track basic campaign performance, including opens, clicks, registrations, and sales.
- Support sponsor promotions, product announcements, and other marketing projects.
Customer, Course, and Event Support
- Respond to customer questions by phone and email regarding courses, matches, memberships, lodging, orders, registrations, payments, and company policies.
- Provide participants with schedules, lodging details, required forms, payment information, and event updates.
- Assist with registrations, rosters, schedules, pairings, participant records, and event communications.
- Follow up on missing information, incomplete registrations, outstanding balances, failed payments, and customer account issues.
- Assist with lodging, room assignments, meals, cleaning arrangements, and hospitality needs for participants, staff, and volunteers.
- Prepare professional emails, notices, forms, announcements, and other business communications.
- Maintain positive working relationships with customers, employees, vendors, contractors, sponsors, business partners, and government contacts.
Financial and Administrative Support
- Prepare invoices and assist with processing, recording, and tracking payments.
- Maintain accurate customer, membership, invoice, payment, and account records.
- Assist with range memberships, recurring payments, account updates, failed transactions, and past-due balances.
- Assist with payroll preparation, budget tracking, and other basic financial processes.
- Learn and use company, customer, and government payment systems as required.
- Maintain organized digital and paper records.
- Protect confidential customer, employee, financial, and company information.
Payroll and Employee Administration
- Collect employee time records and prepare information for payroll processing.
- Assist with entering overtime, special earnings, and payroll adjustments as directed.
- Help maintain employee records, job descriptions, agreements, onboarding documents, and company procedures.
- Assist with employee email accounts, calendars, system access, and other onboarding needs.
Website, Point of Sale, and Online Systems
- Update K&M’s website with current course listings, match information, schedules, products, pricing, inventory, graphics, and announcements.
- Assist customers with online registrations, accounts, subscriptions, payment methods, and failed-payment issues.
- Identify, document, and report website, checkout, payment-processing, subscription, and email-delivery issues.
- Learn and use K&M’s WordPress, e-commerce, registration, customer-management, and payment systems.
- Learn and use K&Ms Point of Sale System – Clover.
Pro Shop and Order Fulfillment
- Process, pack, and ship customer orders accurately and promptly.
- Receive shipments, verify products and quantities, and organize merchandise.
- Place approved vendor orders and follow up on backorders, shipping status, and delivery dates.
- Communicate with customers regarding order status, availability, shipping, and delays.
- Assist with inventory counts and maintain accurate product quantities in company systems.
- Process returns, exchanges, canceled orders, refunds, and voided transactions as directed.
- Review orders for missing information, unusual activity, or possible fraud and report concerns to management.
- Provide professional customer service related to Pro Shop products and orders.
Qualifications
Required Qualifications
- Bachelor’s degree in marketing, communications, business administration, public relations, or a related field.
- Previous experience in marketing, social media, administration, customer service, or a related role.
- Experience creating and scheduling social media, email, and promotional content.
- Experience using graphic-design software such as PicMonkey, Canva, or a similar platform.
- Experience using an email marketing platform such as Brevo, Mailchimp, Constant Contact, HubSpot, or a comparable system.
- Strong writing, proofreading, verbal communication, and customer-service skills.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office, Gmail, Google Calendar, Google Forms, and common business software.
- Experience with invoicing, payment processing, recordkeeping, scheduling, or customer accounts.
- Ability to learn new systems quickly, follow established procedures, maintain accurate records, and work independently as part of a team.
Preferred or Trainable Experience
Experience in the following areas is helpful but not required. Training will be provided for K&M-specific systems and procedures:
- WordPress, website updates, e-commerce systems, or online registration platforms.
- Payroll preparation, timekeeping systems, and overtime entry.
- FFL records, firearm transfers, ATF eForms, or other regulated documentation.
- Government payment platforms and specialized customer-payment systems.
- Packing, shipping, inventory, and vendor ordering.
- Shooting sports, firearms, outdoor training, hospitality, or event operations.

K&M is seeking a detail-oriented, resourceful individual who takes ownership of their responsibilities, demonstrates initiative and sound judgment, and follows tasks through to completion.
