The Reliance Law Group is seeking a professional, organized, and personable Receptionist / Legal Administrative Assistant to join our growing law firm. This position is the first point of contact for our clients and plays an essential role in ensuring the office operates efficiently while providing administrative support to our attorneys and paralegals.
Responsibilities
- Professionally answer and route incoming telephone calls.
- Greet clients and visitors with courtesy and professionalism.
- Schedule consultations, client appointments, and maintain attorney and staff calendars.
- Confirm appointments and communicate scheduling changes with clients.
- Open, sort, and distribute incoming mail.
- Prepare outgoing mail, certified mail, UPS/FedEx shipments, and other deliveries.
- Scan, copy, fax, and electronically organize legal documents.
- Maintain both paper and electronic client files.
- Assist with filing documents and maintaining organized office records.
- Provide administrative support to attorneys and paralegals.
- Prepare correspondence, forms, and other legal documents from templates.
- Enter and maintain information in the firm's case management software.
- Monitor office supplies and assist with general office organization.
- Maintain confidentiality of all client information.
- Perform other administrative and clerical duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree or college coursework preferred.
- Prior receptionist, administrative assistant, or legal office experience preferred, but we are willing to train the right candidate.
- Excellent telephone etiquette and customer service skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Comfortable learning legal case management software.
- Accurate typing and data entry skills.
- Strong attention to detail.
- Ability to work independently while functioning as part of a team.
- Professional appearance and demeanor.
- Dependable, punctual, and motivated to provide outstanding client service.
Preferred Qualifications
- Experience in a law office, medical office, or other professional office environment.
- Familiarity with document scanning, electronic filing systems, and office equipment.
- Experience working with confidential records.
