Role Overview
The Parts Coordinator is the logistical backbone of an auto body shop. This role ensures technicians have the exact parts they need, completely free of damage, before a vehicle enters the repair bay. [1]
Key Responsibilities
Parts Verification & Quality
- Mirror Matching: Placing old parts next to new arrivals to verify identical fit, dimensions, and compatibility.
- Damage Inspection: Checking incoming shipments immediately for shipping dents, cracks, or imperfections.
- Order Review: Comparing vendor invoices against original repair parts orders s to catch ordering discrepancies. [1, 2]
Workflow & Organization
- Parts Staging: Grouping and labeling all verified parts by individual repair order (RO) for specific technicians.
- Inventory Management: Keeping the parts department clean, organized, and tracked inside the shop management system.
- Vendor Coordination: Tracking delivery ETAs, processing returns, and managing core charges or warranty claims. [1]
Administrative & Financial Tasks
- Invoice Processing: Matching vendor invoices to purchase orders to ensure billing accuracy.
- Documentation: Turn in invoices for receiving / bookkeeping
- Team Communication: Alerting estimators and technicians immediately about backordered parts or delivery delays.
Core Qualifications & Skills
- Automotive Knowledge: Familiarity with collision repair processes and vehicle components.
- Hyper-Attention to Detail: Essential for catching micro-differences during mirror matching.
- Multitasking Ability: Managing dozens of active repair orders and vendor deliveries simultaneously.
- Tech Literacy: Proficiency with shop inventory management software and basic invoicing systems. [1]
