Job Overview
We are seeking a dynamic and organized Office Assistant to join our team! This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth workflow across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will play a key role in maintaining an efficient office environment, providing exceptional customer service, and supporting management with various clerical duties.
Duties and Responsibilities
- Manage all provider’s schedules with accuracy and knowledge of availability
- Schedule, cancel, and reschedule client appointments based on each provider’s availability
- Check clients in and out and make sure that all documentation is accurately recorded and managed
- Collect client payments at check in being sure to follow all billing notes
- Handle any client issues that may arise and pass to the office manager if unable to deescalate the situation
- Create intake packets for providers and collect background information when new clients start services
- Have effective communication with all administrative staff and clinical staff
- Maintain/update medical records for all clients
- Maintain office supplies and communicate needs with office manager
- Check and respond daily to all voicemails
- Be proactive in overall management of office functions and activities
- Keep the office manager informed of all activities that may impact office functions or clinical activities
- Send out appointment reminders when necessary
- Handle records requests appropriately following HIPAA guidelines and office standards
- Log any outgoing and incoming client records and/or correspondence
- Make sure all special projects are completed within the given time frame
Recommended Qualifications
- Proven experience in an office environment with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and computer literacy for efficient data entry and document management
- Experience with front desk operations, phone etiquette, and customer service excellence
- Ability to handle multiple responsibilities with professionalism and a positive attitude
Hours of Operation:
- Monday – Thursday - 8:00am – 12:00pm, 1:00pm – 6:00pm
- Friday - 8:00am – 12:00pm
Pay and Benefits (immediate):
- $16.00/hour
- 40hrs/week
- Bi-weekly pay
- Paid Holidays
Pay and Benefits (After 90 day probationary period):
