This position combines office management, customer service, scheduling, dispatching, and administrative support responsibilities. Responsibilities
- Answer incoming calls and provide exceptional customer service
- Schedule service calls, installations, and project appointments
- Dispatch technicians and crews efficiently throughout the day
- Coordinate schedules and communicate changes to field personnel and customers
- Manage customer records, work orders, invoices, and related documentation
- Assist with billing, collections, and payment processing
- Maintain calendars, appointments, and project schedules
- Handle incoming emails and correspondence
- Support management with administrative and operational tasks
- Order and maintain office supplies
- Track permits, inspections, and project-related paperwork as needed
- Ensure accurate data entry and recordkeeping
- Help improve office processes and workflow efficiency
Qualifications
- Bilingual in English and Spanish (required)
- Previous experience in an office administration, office management, dispatching, scheduling, or customer service role
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook)
- Excellent phone, communication, and customer service skills
- Ability to multitask and stay organized in a busy environment
- Strong attention to detail and problem-solving abilities
- Ability to work independently and as part of a team
- Professional demeanor and positive attitude
- Experience in HVAC, plumbing, construction, home services, or a related industry is highly preferred
