We are a boutique outpatient breast and gynecological imaging center seeking an experienced, highly organized, and capable Front Office Manager to lead the daily operations of our practice while providing our patients with exceptional patient care. This pivotal role involves executing and overseeing daily front desk functions, managing front desk staff, and ensuring compliance with healthcare regulations and day-to-day office needs. The front desk office manager must demonstrate strong leadership skills to foster a collaborative and efficient environment, contribute to quality healthcare delivery, ensure efficient office flow, and ensure positive work environment in a fast-paced clinical setting.
Responsibilities
- Serve as a liaison between front desk staff and imaging technicians to ensure smooth patient transitions while fostering a friendly, professional, and inclusive team culture.
- Coordinate, execute, and supervise all front desk duties including but not limited to scheduling according to template and set goals, patient intake, scrubbing of schedule to ensure accuracy and efficiency, insurance verification, delivery of patient results (verbal and written) according to established guidelines, collection of any applicable payments, returning phone calls, medical records management, and training as needed.
- Serve as the primary contact for resolving patient or front desk operational issues with empathy and professionalism.
- Work collaboratively with the mammography operations coordinator to support overall clinic operations, workflow improvements, and organizational goals.
- Assist in implementing and maintaining office policies, procedures, and operational standards established by leadership.
- Support compliance efforts by ensuring front office processes adhere to MQSA requirements, HIPAA regulations, state healthcare regulations, accreditation standards, and other applicable regulatory guidelines.
- Monitor and manage front desk coverage and attendance to promote operational efficiency according to established policies and procedures.
- Partner with leadership to identify opportunities for process improvement, staff development, and enhanced patient experience.
Experience
- Proven experience in medical office management within a clinical setting
- Excellent organizational and leadership skills combined with the ability to adapt quickly in a fast-paced clinical environment
- A background or familiarity with breast center workflows and protocols is a significant plus and is strongly desired.
- An understanding of administrative tasks involving medical administrative support functions like billing/coding and insurance processing is a plus.
- Demonstrated ability to work effectively with clinical leadership.
- Knowledge of regulatory compliance within a healthcare setting including HIPAA, MQSA requirements, state regulations, and accreditation standards.
- Proven ability to lead a team while maintaining accountability, professionalism, discretion, and confidentiality.
- Breast or Imaging center experience strongly preferred
Pay: $20.00 - $23.00 per hour
