Assistant Medical Team Technical Project Manager

Job Summary: The Assistant Medical Team Technical Project Manager supports the Medical Team Technical Project Manager in the day-to-day coordination of technical operations, project execution, and workflow implementation across all Medical Team organizations. This role assists with technical testing, project coordination, system support, technical escalations, and cross-functional initiatives, helping ensure technical operations are completed efficiently and aligned with organizational priorities. The Assistant Medical Team Technical Project Manager works closely with the Medical Team Technical Project Manager, Education and Technical Nurse Managers, Med-Tech Nurses, Development, Product, Pharmacy, Medical Administration, and other cross-functional stakeholders to support technical operations and maintain the systems and resources needed to provide an exceptional patient experience. Leadership reserves the right to adjust responsibilities, workflows, scheduling, and role expectations based on operational and organizational needs.
Key Responsibilities:
☐ Support the day-to-day technical operations of the Medical Team.
☐ Assist with coordinating technical initiatives, workflow implementations, and operational projects.
☐ Monitor technical projects and ensure assigned tasks are progressing according to established timelines.
☐ Escalate operational concerns, project risks, or system issues to the Medical Team Technical Project Manager as appropriate.
☐ Support communication between the Medical Team and Development, Product, Pharmacy, Operations, Marketing, Medical Administration, and other stakeholders.
☐ Assist with gathering technical requirements and operational feedback from Medical Team members.
☐ Participate in technical meetings and provide updates on assigned projects and initiatives.
☐ Support implementation of new workflows, technical enhancements, and organizational initiatives.
☐ Coordinate and oversee testing activities performed by the Med-Tech Nursing teams across all supported organizations.
☐ Assign, monitor, and track testing tasks to ensure timely completion.
☐ Review testing results, identify trends, and communicate findings to the Medical Team Technical Project Manager.
☐ Assist with validating new features, system enhancements, bug fixes, and workflow updates before implementation.
☐ Ensure testing documentation is complete, organized, and accurately maintained.
☐ Monitor Medical Team technical support inboxes and technical escalation channels.
☐ Review, triage, and coordinate technical escalations submitted by Medical Team members.
☐ Investigate technical issues and gather supporting information needed for resolution.
☐ Ensure technical escalations are documented, communicated, and followed through to completion.
☐ Collaborate with Development and cross-functional partners to facilitate timely issue resolution. Project Coordination & Documentation
☐ Assist with preparing technical case write-ups, action reports, project documentation, and technical summaries.
☐ Maintain project trackers, action item logs, and technical documentation.
☐ Coordinate project timelines, meeting follow-ups, and assigned deliverables.
☐ Develop workflow diagrams, process maps, and supporting documentation using tools such as Lucidchart.
☐ Assist with maintaining technical reference guides, standard operating procedures, and internal resources.
☐ Monitor technical trends, recurring issues, and operational data to identify opportunities for improvement.
☐ Assist with compiling reports, dashboards, and project metrics for leadership review.
☐ Identify workflow inefficiencies and communicate recommendations for process improvement.
☐ Support quality assurance initiatives and continuous improvement efforts across Medical Team operations.
☐ Maintain technical project documentation, trackers, reports, and operational records.
☐ Coordinate follow-up on assigned action items and project deliverables.
☐ Assist with onboarding Medical Team members by coordinating technical access, system setup, and workflow resources.
☐ Provide operational support during system implementations, technical releases, and organizational initiatives.
☐ Perform additional technical, operational, and administrative responsibilities as assigned.

Schedule:
☐ Full-time, 40 hours per week
☐ Monday–Friday, 9:00 AM – 5:00 PM EST
☐ Availability to provide on-call technical support outside of regular business hours, including evenings, weekends, and holidays, as operational needs require.
☐ Paid time off for observed holidays
Education and Experience:
☐ High school diploma or equivalent required.
☐ Associate's or Bachelor's degree in healthcare administration, business, information systems, nursing, or a related field preferred.
☐ Minimum of two years of experience in healthcare operations, technical support, project coordination, or a related role preferred.
☐ Experience supporting software testing, technical projects, workflow implementation, or healthcare technology platforms preferred.
