Position Summary
The Staff Accountant is responsible for the day-to-day financial management and accounting operations of the TWOC Healing Project. This position ensures the accuracy, integrity, and compliance of all financial records while supporting organizational sustainability through sound fiscal management, grant compliance, budgeting, payroll administration, and financial reporting.
The Staff Accountant serves as the organization's financial management professional, providing leadership with timely financial information, maintaining strong internal controls, and ensuring compliance with Generally Accepted Accounting Principles (GAAP), nonprofit accounting standards, and applicable federal, state, and grant requirements.
This is a contract position requiring up to 24 hours per week with on-site presence. This position applies to both 1133 and 1131 sites unless otherwise identified.
Core Areas of Responsibility
1. Financial Management & Accounting
The Staff Accountant manages the organization's daily accounting operations while maintaining accurate and complete financial records.
Responsibilities
- Maintain the general ledger and chart of accounts.
- Record, classify, and reconcile all financial transactions.
- Manage accounts payable and accounts receivable.
- Process deposits and monitor organizational cash flow.
- Complete monthly bank and credit card reconciliations.
- Monitor organizational cash balances.
- Maintain fixed asset and depreciation records.
- Ensure proper allocation of expenses across programs and funding sources.
2. Grant Financial Management
The Staff Accountant oversees the financial administration of grant-funded programs.
Responsibilities
- Establish and maintain grant budgets.
- Track restricted and unrestricted funding.
- Monitor expenditures for grant compliance.
- Prepare financial reports for funders.
- Assist with grant budget development and revisions.
- Maintain documentation supporting grant expenditures.
- Ensure compliance with grant financial requirements.
3. Budgeting & Financial Reporting
The Staff Accountant provides financial reporting that supports organizational planning and decision-making.
Responsibilities
- Prepare monthly, quarterly, and annual financial statements.
- Monitor budget-to-actual performance.
- Prepare financial forecasts and cash flow reports.
- Assist leadership with annual organizational budgeting.
- Develop program-specific budgets.
- Present financial reports to organizational leadership as requested.
4. Payroll & Financial Administration
The Staff Accountant manages payroll and related financial processes.
Responsibilities
- Review approved timesheets for payroll processing.
- Process payroll in accordance with organizational schedules.
- Prepare contractor payments and reimbursements.
- Maintain payroll records and documentation.
- Coordinate payroll tax reporting and filings.
- Ensure payroll compliance with applicable regulations.
5. Compliance & Internal Controls
The Staff Accountant ensures the organization's financial practices remain compliant and well documented.
Responsibilities
- Maintain compliance with GAAP and nonprofit accounting standards.
- Develop and maintain financial procedures and internal controls.
- Ensure proper financial documentation and record retention.
- Monitor organizational financial policies for compliance.
- Support risk management through sound financial practices.
- Recommend improvements to financial systems and procedures.
6. Audit, Tax & Year-End Support
The Staff Accountant prepares financial records for annual reporting requirements.
Responsibilities
- Prepare documentation for annual audits or financial reviews.
- Coordinate requested information with auditors.
- Preparation and filing of IRS Form 990 and other required filings.
- Complete year-end financial closeout procedures.
- Maintain supporting documentation for all financial reporting.
7. Organizational Collaboration
The Staff Accountant collaborates with leadership and staff to support organizational success.
Responsibilities
- Provide financial guidance to leadership regarding budgets and expenditures.
- Collaborate with program staff regarding grant budgets and spending.
- Support grant proposal development through budget preparation.
- Train staff on financial procedures and reimbursement processes.
- Participate in organizational meetings as requested.
- Perform other duties as assigned.
Required Knowledge & Skills
- Knowledge of nonprofit accounting principles and Generally Accepted Accounting Principles (GAAP).
- Experience with QuickBooks Online and Microsoft Office, particularly Excel.
- Understanding of grant financial management and restricted funding.
- Knowledge of budgeting, forecasting, payroll, and financial reporting.
- Ability to prepare accurate financial statements and reconciliations.
- Strong analytical, organizational, and problem-solving skills.
- Excellent attention to detail and ability to maintain confidentiality.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
Minimum Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field; equivalent experience may be considered.
- Minimum of three (3) years of accounting or financial management experience.
- Experience with nonprofit accounting and grant-funded organizations preferred.
- Proficiency in QuickBooks Online.
- Experience with payroll processing preferred.
