Position Summary:
The Assistant Project Manager is responsible for the coordination and successful completion of assigned Special Projects under the direction of the Director of Special Projects. This position serves as the primary point of contact for assigned customers, providing consistent communication throughout the lifecycle of each project while coordinating with internal teams, field personnel, subcontractors, and vendors to ensure projects are completed safely, on schedule, within budget, and to the customer's satisfaction.
The Assistant Project Manager is responsible for supporting all aspects of project execution, including project planning, scheduling, procurement, documentation, customer communication, change management, financial tracking, and project closeout. This role works with the Director of Special Projects to monitor project performance, identify risks, and ensure company standards for safety, quality, and customer service are maintained.
As business needs require, the APM may also participate in customer meetings, site walks, and preconstruction activities to support estimating, project planning, and the successful pursuit of new work.

Labor Coordination:
The Assistant Project Manager will aid in coordinating labor needs across all SPD work.
Responsibilities include:

Coordinate daily and weekly labor needs for SPD projects.

Prepare Six Week Lookahead for all SPD projects with the Director of Special Projects for overall company capacity planning
-
Coordinate manpower assignments with field supervisors, foremen, and technicians.
-
Confirm crews have the information, tools, materials, equipment, and access needed before mobilizing to the jobsite.
-
Monitor active project manpower and adjust labor coordination as project conditions change.
-
Identify manpower shortages early and escalate schedule or capacity concerns.
-
Help prioritize labor across SPD work based on customer commitments, critical path work, shutdowns, emergencies, and project deadlines.

Coordinate with operations when additional manpower, specific skill sets, or foreman coverage is required.
Material Management:
Responsibilities include:

Track material deliveries.
-
Verify long-lead equipment status.
-
Coordinate material deliveries with field personnel.

Maintain procurement logs.
-
Resolve shipping and delivery issues.
-
Verify vendor invoices against purchase orders as required.
-
Assist with equipment startup scheduling.
Financial Administration:
Responsibilities include:

Developing and maintaining project budgets.
-
Track committed costs, labor hours, material costs, subcontractor costs, and equipment expenses.

Monitor project performance against budget and identify potential cost overruns or labor impacts.

Prepare and track change order pricing and documentation.

Owner billings and subcontractor invoice review.
-
Maintain accurate cost reports and project financial documentation.

Forecasting project costs to complete and projected profitability.
Scheduling & Documentation:
Responsibilities include:

Update project schedules.

Maintain action item logs as required
-
Manage document control.
-
Maintain drawing revisions.
-
Organize electronic project files.
-
Coordinate O&M manuals.
-
Track as-built drawings.
-
Maintain closeout documentation.
Customer Communication:
Responsibilities include:

Serve as the customer's primary day-to-day point of contact from project turnover through closeout.

Provide regular updates on project schedule, progress, shutdowns, material deliveries, and milestones.

Coordinate customer requests, site access, work windows, and project logistics.
-
Communicate project issues, schedule impacts, and change requests in a timely manner.
-
Coordinate with internal departments to ensure customer expectations are met.

Build and maintain strong customer relationships that promote repeat business and long-term partnerships.
Project Closeout:
Responsibilities include:

Track punch list completion.
-
Assemble warranty documents.
-
Coordinate O&M manuals.
-
Compile project turnover documentation.
-
Ensure all project documentation is complete before closeout.
