Julie Woods & Associates is seeking a highly organized, service-minded WOW Experience Coordinator to serve as the first point of contact for clients, agents, vendors, and visitors. This role is responsible for creating an exceptional client experience, maintaining office operations, managing supplies and inventory, and supporting the leadership team with administrative needs as they arise.
The ideal candidate is dependable, proactive, detail-oriented, and takes pride in creating a welcoming environment while ensuring the office runs efficiently and professionally.
Location: East Texas (Longview/Kilgore)
Schedule: Full-Time (35 hours), Monday-Friday, 8:30 AM – 4:30 PM
Compensation: $20/hr.
Key Responsibilities
Client Experience & Communication
· Answer and route all incoming office phone calls.
· Respond to and manage incoming office text messages.
· Greet clients, agents, vendors, and guests in a friendly and professional manner.
· Create a welcoming, professional, and service-oriented experience for every visitor and caller.
· Monitor and maintain general office communication channels.
· Assist with scheduling appointments and directing inquiries to appropriate team members.
Office Operations
· Maintain a clean, organized, and professional office environment.
· Ensure reception areas, conference rooms, kitchen areas, and common spaces are presentable throughout the day.
· Take out office trash and coordinate waste removal as needed.
· Perform regular office walkthroughs to identify maintenance, appearance, or supply concerns.
· Coordinate with vendors, maintenance personnel, and service providers when necessary.
· Assist in preparing the office for meetings, trainings, client events, and special occasions.
Inventory & Supply Management
· Monitor inventory levels of office supplies, kitchen supplies, cleaning products, and hospitality items.
· Place and manage Amazon, delivery, and local supply orders.
· Receive, organize, and distribute incoming packages and deliveries.
· Maintain supply storage areas and ensure items are stocked appropriately.
· Ensure coffee, beverages, snacks, and hospitality supplies are readily available for clients and team members.
Administrative & Leadership Support
· Assist leadership and agents with general administrative tasks as assigned.
· Help coordinate meetings, trainings, and office events.
· Prepare materials, files, and resources needed for meetings and appointments.
· Assist with special projects and team initiatives.
· Provide occasional calendar, communication, and scheduling support for leadership as needed.
· Help track follow-up items and administrative tasks to ensure projects stay on schedule.
· Maintain organized filing systems and office records.
Qualifications
Required
· Excellent verbal and written communication skills.
· Strong organizational and multitasking abilities.

· Ability to work independently and take initiative.
· Proficiency with Microsoft Office and basic computer systems.
· Strong attention to detail and follow-through.
· Must be able to lift 35 lbs.
Preferred
· Previous receptionist, administrative assistant, customer service, or office management experience.
· Experience working in a fast-paced office environment.
· Familiarity with real estate operations is a plus but not required.
