Financial Operations Manager
Full-Time | Hybrid (Kalamazoo, MI 49009) | Compensation Based on Experience
Own the financial integrity of three growing, privately-owned businesses.
Grand Home Inspection, Grand Machine & Design, and Peace Out Pests are looking for a Financial Operations Manager to own our books, our cash flow, and our reporting. This is a hands-on role with real ownership — not data entry, not a pass-through to someone else's judgment.
Read this carefully before applying. This role is built for someone with small business finance experience specifically. If your background is government, banking, or another environment where cash flow risk isn't yours to manage, this is not the right fit — even if you're great at what you do. We need someone who has felt the pressure of a slow-paying customer against a real payroll deadline and made the call on what gets paid first.
What You'll Own
Grand Home Inspection carries the largest employee and revenue footprint. Grand Machine & Design is where the majority of AP/AR activity happens. Peace Out Pests operates at a small scale and needs minimal financial administration.
Financial Integrity & Reporting (Primary Focus)
- Maintain accurate general ledgers across multiple entities in QuickBooks
- Perform monthly bank and credit card reconciliations
- Keep books CPA-ready at all times — no cleanup projects, no guessing
- Close each month cleanly and consistently, on a set schedule
- Prepare internal financial summaries and maintain reporting dashboards
- Monitor cash flow timing, flag irregularities, and make recommendations — not just reports
- Participate in regular financial review meetings with ownership
- Coordinate documentation and communication with our CPA
Accounts Payable
- Code and enter vendor invoices correctly the first time
- Maintain approval workflows
- Process ACH/check payments
- Actively manage payment timing against cash position when receivables are slow
- Maintain vendor documentation and records
Accounts Receivable
- Generate and issue invoices (Grand Machine & Design)
- Monitor incoming payments and follow up on overdue balances without being asked
- Maintain accurate AR reporting
- Respond to billing inquiries professionally
Payroll Administration
- Process semi-monthly payroll accurately and on time
- Review and approve time submissions
- Make payroll adjustments when necessary
- Coordinate with payroll provider
- Ensure payroll compliance and reporting accuracy
Limited HR Administrative Support (Secondary)
- Coordinate payroll setup for new hires
- Maintain employee documentation
- Assist with benefits enrollment updates
- Process offboarding paperwork
What This Role Is — and Is Not
This role IS:
- Full ownership of clean, accurate, audit-ready books
- A role where you're expected to interpret the numbers, not just record them
- A role where you make the call on prioritization and escalate only when it truly matters
This role is NOT:
- Data entry
- An executive-level Controller position
- An HR leadership role
- A role with a CFO or Controller above you to make the judgment calls. Ownership works directly with you.
Must-Haves
- 3+ years managing AR/AP and cash flow in a private-sector, small-to-mid-size business. Experience must include real responsibility for cash flow — not just processing transactions in an environment where cash flow risk sat with someone else (e.g., government, banking, large corporate finance with layers of oversight).
- Strong, demonstrable QuickBooks proficiency across multiple entities. You should be able to explain, without hesitating, the difference between a liability and an expense, and how you categorize transactions — not "by feel."
- Experience owning the monthly close process start to finish
- Payroll processing experience
- Ability to manage multiple entities simultaneously
- High level of integrity and comfort raising uncomfortable financial truths directly to ownership
Ideal Experience
- QuickBooks proficiency across multiple entities (we will test this)
- Familiarity with job costing platforms
- Experience working directly with owners or leadership — not layers of management
- Familiarity with service-based or construction-related businesses
- Experience building and maintaining financial dashboards
Work Arrangement
Hybrid — based in Kalamazoo, MI 49009, with up to one remote day per week. This is a books-and-cash-flow ownership role that requires regular in-person presence with the team and leadership.

Pay: $26.00 - $32.00 per hour
