Performs financial, clerical, and administrative duties to ensure the efficient operation of the Engineering Division. This position reports to the Contracts Specialist.
Essential Functions
- Performs clerical duties to ensure correspondence is completed accurately and promptly.
- Prepares Resolutions for consultant contracts.
- Prepares specifications for projects that go out to bid.
- Enters resolutions, new projects, and contracts into the Engineering database.
- Utilizes the MSI Financial System to enter requisitions and receive purchase orders.
- Processes payments for various vendors and consultant contracts in the financial system.
- Processes road opening permits and payments.
- Maintains consultant and vendor files.
- Answers telephones and handles public inquiries and directs calls.
- Requests County, State and Federal Wage Rates for new Construction Contracts.
- Maintain Engineering Motor Pool vehicles.
- Assists Contract Specialist with contracts and contractor payments.
- Works with County Counsel to ensure consultant contracts are executed.
- Send out RFP letters to eligible consultants.
- Opens mail and distributes accordingly.
- Operates modern office equipment including PC and scanner.
- Prepares monthly progress schedules.
Performs other related duties as assigned by management.

Qualifications
Essential
- High School graduate with supplemental business courses.
- 3-5 years’ administrative assistant experience.
- Proficient in MS Office Suite.
- Possess basic accounting skills.
- Excellent interpersonal and communication skills.
- Must be highly organized with a strong attention to detail.
Preferred
- Knowledge of County policy and procedures.
- Experience with MSI.
Knowledge of the County resolution process.

Salary/pay: $40,000 - $50,000/year
