About the Role
We are seeking a highly organized, technology-driven, detail-oriented Compliance Management & Operations Coordinator to support our growing organization. This role combines operations management, compliance administration, hiring coordination, legal documentation support, payroll administration, vendor coordination, technology systems management, and digital platform administration into one highly impactful position.
This is a mission-critical operational role responsible for helping manage onboarding, recruiting coordination, compliance standards, contracts and vendor documentation, payroll administration support, operational workflows, technology systems, and digital communications across the organization.
This is not an entry-level administrative role. The individual hired must already be highly comfortable working within technology systems, compliance-driven operational environments, digital platforms, payroll systems, and administrative software tools without requiring extensive training.
Accuracy and professionalism are absolutely critical in this role. We are seeking someone who takes pride in operational excellence, precision, organization, and getting tasks completed correctly the first time.
Recruiting & Candidate Communication — Major Part of the Role
A major portion of this position involves communicating with candidates and new hires throughout the day. The ideal candidate must genuinely enjoy speaking with people, building relationships, helping candidates through onboarding processes, and maintaining a highly professional and enthusiastic phone presence.

Core Responsibilities
Hiring & Recruiting Operations
- Conduct phone calls with candidates regarding job opportunities and onboarding processes
- Explain company opportunities, expectations, operational requirements, and onboarding procedures professionally
- Follow up consistently with candidates and maintain organized communication tracking
- Coordinate candidate onboarding and operational setup for new hires
- Send employment agreements, onboarding forms, and hiring documentation
- Review returned contracts and onboarding paperwork for accuracy and completion
- Maintain hiring workflow tracking and onboarding status reporting
- Represent the organization in a polished, professional, and positive manner
- Help create a positive onboarding experience that excites new hires about joining the organization
Technology Systems & Google Workspace Administration
- Administer and manage Google Workspace systems daily
- Create and manage user accounts and permissions
- Reset passwords and manage employee profile settings
- Organize digital records, folders, and compliance documentation
- Configure Gmail signatures with graphics, logos, branding elements, and compliance-approved language
- Upload and manage approved compliance wording across internal and external platforms
- Handle graphic alignment, formatting, JPEG files, logos, and digital branding materials accurately
- Maintain and organize operational technology systems and records
- Assist with maintaining website profiles and company digital presence
- Ensure all technology setup, graphics formatting, compliance wording, and branding updates are completed accurately the first time
Compliance, Contracts & Legal Documentation Coordination
- Coordinate contracts, agreements, vendor forms, onboarding paperwork, and compliance documentation
- Ensure all documentation is properly completed, signed, organized, and maintained on record
- Input contract and agreement information into DocuSign and manage electronic signature workflows
- Send agreements and documentation to clients, vendors, and contractors through DocuSign
- Track signed agreements and maintain organized records for management and vendors
- Ensure all compliance language, formatting, and documentation standards are followed precisely
- Maintain accurate filing systems for company agreements, vendor documentation, onboarding files, and compliance records
- Retrieve and distribute documentation to vendors or management when requested
- Prepare, format, and data entry compliance letters and compliance-related mailings for clients
- Ensure compliance mailings and communications are professionally formatted and sent accurately
- Assist with professional letter formatting, compliance communications, and operational correspondence
Social Media & Digital Platform Administration
- Maintain and update company social media and digital platforms
- Upload approved compliance wording, graphics, and branding materials accurately
- Assist with maintaining professional company profiles across platforms
- Work within systems such as:
- X
- Instagram
- LinkedIn
- Ensure graphics, formatting, wording, and compliance language are properly aligned and professionally displayed across all platforms
- Maintain organized digital records and content updates
Payroll, Accounting & Operations Support
- Assist with payroll processing and commission calculations
- Work within payroll systems such as Gusto
- Calculate percentages, compensation structures, and payment distributions accurately
- Coordinate vendor payment setup and operational payment administration
- Process operational and accounting-related administrative tasks
- Maintain operational spreadsheets, payment tracking records, and reporting systems
- Support accounting and operational reporting processes
- Provide regular operational reports and updates to management
- Ensure payroll calculations, commission calculations, and operational reporting are completed accurately without errors
Required Qualifications — Absolute Requirements
This role requires a highly technology-oriented and operationally disciplined individual. We cannot train someone from the beginning on core systems, technology platforms, payroll systems, or operational software. The individual hired must already be comfortable and experienced working within these environments.

- Strong proficiency with Google Workspace (Gmail, Google Docs, Google Sheets, Google Drive, etc.)
- Comfortable administering technology systems daily with minimal oversight
- Experience using or working within DocuSign workflows and document management systems
- Comfortable working within social media and digital platforms
- Strong understanding of technology systems, file management, and operational software
