Responsibilities
- Schedule clients and staff
- Answer phones and respond to emails
- Communicate with families regarding scheduling, onboarding, and general inquiries
- Coordinate new employee onboarding and orientation
- Recruit Behavior Technicians (BTs) and other staff, screen applicants, and coordinate interviews
- Support credentialing, compliance, and personnel documentation
- Maintain client and employee records
- Conduct online research for vendors, insurance requirements, regulations, and operational projects
- Assist with general office administration and day-to-day agency operations
Requirements
- Proven experience in office administration or office management roles with strong clerical skills.
- Demonstrated supervisory experience with the ability to lead and motivate a team effectively.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) along with experience using spreadsheets for data analysis.
- Familiarity with accounting or financial software such as QuickBooks or similar platforms; basic bookkeeping knowledge required.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Experience handling confidential information with integrity and discretion.
- Knowledge of event planning logistics and vendor management processes is highly desirable.
- Ability to manage multiple responsibilities simultaneously while maintaining attention to detail.
- Prior experience in medical office management or similar environments is a plus but not required.
