1. Perform a wide range of administrative duties including calendar management, meeting coordination, travel arrangements, mail handling, phone coverage, message screening, and general office support.
2. Complete and submit required reporting through online platforms for regulatory boards such as the
North Carolina Real Estate Commission, Nationwide Multistate Licensing System, North Carolina Appraisal Board, North Carolina Department of Insurance, Certified Financial Planner Board, and other regulatory boards, compliance boards, and commissions as required.
3. Create, maintain, and purge electronic and paper files; manage databases such as Brightspace and Canvas and registration records in Datatel and Informer.
4. Process code, reconcile, and submit P-Card receipts, invoices, and expense reports in Emburse and other Accounts Payable Software.
5. Monitor inventory, order supplies, and organize class and instructional materials.
6. Coordinate with budget managers to request and track refunds, reconcile instructor contracts and class rosters, and assist with budget monitoring and processing revenue checks.
7. Advise students and clients on course selection, prerequisites, and procedures.
8. Respond to inquiries using independent judgment; research issues, coordinate with appropriate parties, and follow through until resolution.
9. Follow up with instructors to ensure timely entry of grades and attendance in Destiny One, MyCollege, and other attendance, and grade reporting management systems.
10. Serve as proctor for in-person exams as needed.
11. Assist with training and orientation of instructors.
12. Support instructors and Program Coordinator in a variety of tasks including class activities, materials, confirmations, students refunds and transfers, creating and distributing course certificates, and course logistics.
13. Track instructor compliance with administrative and academic requirements.
14. Draft, proofread, and distribute correspondence, forms, reports, and informational and marketing materials.
15. Gather, summarize, and produce reports for supervisors and administrators.
16. Serve as an informational resource for staff and students with a strong customer service focus.
17. Maintains and coordinates course book adoptions.
18. Perform other duties as assigned in support of the College's mission and department goals.
