JOB TITLE: Assistant Recreation Coordinator
REPORTS TO: Parks and Recreation Manager
SALARY GRADE: 500
FLSA: Non-exempt
SUMMARY: This position is responsible for assisting in the daily operations and maintenance of the Recreation facilities as well as assisting in the development and implementation of program goals, strategies, policies, and procedures. The position is benefit-eligible including health insurance, paid leave, retirement plan match and others

· Assist with daily operations and maintenance of the Recreation facilities.
· Willing to work at or more than fifty percent (50%) of hours during the evenings and weekends on a routine basis.
· Attend activities, events, practices, games, and tournaments for the purpose of coordination, communication with staff, participants, and spectators, as well as general oversight.
· Coordinate, schedule, and manage Recreation facilities for sports programs or group rentals.
· Develop and maintain excellent relationships with Town employees, vendors, outside user groups, and the residents of Wellington.
· Provide a variety of general information to the public regarding Town of Wellington Recreation operations and programs. Answer the main Recreation telephone line and respond to daily email inquiries. Respond to questions, research answers if needed, resolve complaints, and survey patrons as needed.
· Prepare invoices of facility rentals and maintain accurate records and backup.
· Perform cash handling procedures and ensure compliance with Town financial policies.
· Collect and records payments and outstanding balances.
· Assist with the development, implementation, and tracking of a marketing strategy and materials; works in coordination with the Town’s marketing department to help promote recreational events, programs, sales, and registrations.
· Responsible for ordering, tracking, maintaining supplies; perform inventory audits.
· Responsible for administrative duties as required; particularly administrative functions such as registration, data entry of scheduling, word processing of documents, and calendar scheduling.
· Enforce and maintain policies and procedures manuals; answer questions and respond to complaints and concerns, both internally and externally.
· Relay the directives of Recreation Coordinators, while providing direction and monitor seasonal staff as an on-site coordinator.
· Work variable hours to include regularly scheduled evenings and most Saturdays.
· Observe necessary precautions to assure public safety. Inspect facilities for safety and maintenance needs by conducting facility walk-throughs on a regular, systematic basis.
· Follow up on repair requests to assure proper resolution and completion of needed work.
· Recognize emergency and dangerous situations by reacting quickly and calmly. Administer first aid, CPR, AED processes as needed. Complete accident/incident reporting.
· Participate in 24-hour on-call rotation for response to parks and recreation emergencies including; splash pad maintenance, irrigation issues, weather impacts to recreation programing, etc.
· Work Town of Wellington special events on selected holidays, evenings and weekends.
- Coordinate volunteer requests from the community; recruit, train and monitor volunteer coaches and staff.
· Perform other duties as required.

Knowledge of:
Techniques and methods related to the operation of recreation programs,
● Recreation programming, budgeting, and software.
● Pertinent local, State, and Federal laws, ordinances, and rules.
● Sports rules and guidelines as they apply to different age and user groups.
● English language, usage, spelling, punctuation, and grammar.
● General office software including Microsoft Suite
● The techniques of planning, evaluating, and implementing recreation programs, services, and activities.
● Principles and practices of modern parks and recreation programs.
● Principles and practices for providing high level of customer service.
Ability to:
- Understand, convey and uphold rules and regulations of programmed activities and sports provided by the Town.
- Work a flexible schedule to accommodate department needs in coordination with the Parks and Recreation Manager.
- Drive a vehicle pulling a trailer.
- Work in stressful situations; ability to stay calm; have excellent problem-solving skills.
- Participate and lead in active sports, recreation activities and Town events; ability to organize and direct fitness, Town events, and recreation programs.
- Establish and maintain effective working relationships with co-workers, public, news media and other departments and agencies.

- Set up, prepare, and maintain, all different types of athletic fields.
- Officiate and coach youth and/or adult sports if needed.
· Plan, organize, and conduct recreation programs.
· Oversee volunteers and assesses program operations

· Use a personal work computer – including word processing, spreadsheet, database, and desktop publishing applications.
· Attend day, evening, holiday and weekend meetings and events.
MINIMUM QUALIFICATIONS:
· One year of relevant experience
· Current certifications in AED/CPR, and First Aid or the ability to obtain such certifications within 6 months of employment.
· Valid Driver’s License
PREFFERED QUALIFICATIONS:
· BS or BA in business administration, recreation, physical education, or a related field; or comparable post-graduate degree or certifications.
· Experience using SmartRec Software a plus.
· Basic Aquatics knowledge a plus.
· Previous experience in ball field maintenance a plus.
WORKING CONDITIONS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Requires sitting (or standing) at desk up to 75% of assigned shift in a busy office environment where noise and interruptions prevail. 25% of time is spent as assigned at Town of Wellington facilities/parks. Occasionally may be required to utilize cleaning materials for duties such as mopping, cleaning windows, and vacuuming.
PHYSICAL REQUIREMENTS:
Must be able to frequently bend, walk, kneel, stoop, reach and lift in performance of duties. Occasionally will be required to assist in the lifting and moving of recreation equipment, tables, chairs, etc. to a maximum of 50 pounds unassisted and 75 pounds assisted.
CONDITIONS OF EMPLOYMENT:
· Must pass criminal history check.
· Must pass motor vehicle records check.
· Must participate in Town’s direct deposit program.
