Position Summary
The Stellantis Warranty Administrator is responsible for the accurate submission, tracking, reconciliation, and compliance management of all manufacturer warranty claims for an automotive dealership. This role requires a high degree of precision, manufacturer policy knowledge, and cross-functional coordination to ensure timely reimbursement, audit readiness, and adherence to OEM and dealership standards. The ideal candidate demonstrates exceptional organizational skills, discretion, and accountability within a high-volume, high-expectation environment.
Key Responsibilities
Warranty Processing & Compliance
- Prepare, submit, and follow up on all manufacturer warranty and goodwill claims in accordance with OEM policies and timelines.
- Ensure all claims are supported by complete and accurate documentation, including repair orders, technician notes, photos, sublet invoices, and parts records.
- Monitor claim rejections, chargebacks, and debits; research root causes and implement corrective actions to minimize exposure.
- Maintain audit-ready warranty files and respond to OEM warranty audits, field reviews, and inquiries.
Financial Accuracy & Reconciliation
- Reconcile warranty receivables and schedules; ensure timely posting and resolution of outstanding balances.
- Partner with Accounting to ensure proper coding, accruals, and month-end close accuracy related to warranty activity.
- Track warranty metrics, including submission timeliness, recovery rates, and debit trends.
Cross-Functional Collaboration
- Work closely with Service Advisors, Technicians, Parts, and Management to ensure warranty repairs meet OEM standards prior to claim submission.
- Provide guidance and training to service staff on warranty eligibility, documentation requirements, and policy changes.
- Communicate proactively with OEM representatives regarding claim status, escalations, and policy interpretations.
Process Improvement & Policy Adherence
- Stay current on OEM warranty policies, labor operations, campaigns, recalls, and bulletins.
- Identify process gaps or risk areas and recommend improvements to enhance recovery and reduce audit risk.
- Uphold dealership confidentiality, data integrity, and compliance with all applicable regulations and internal controls.
Qualifications
Required
- 3+ years of warranty administration with proven Stellantis experience in an automotive dealership environment.
- Proficiency with a DMS – CDK experience preferred.
- Demonstrated knowledge of OEM warranty policies, claims systems, and audit procedures.
- Strong attention to detail with the ability to manage multiple claims and deadlines simultaneously.
- Proficiency with Microsoft Excel.
- Excellent written and verbal communication skills.
Preferred
- Experience supporting OEM warranty audits with minimal chargebacks.
- Familiarity with New York State dealership compliance requirements.
- Ability to operate independently in a fast-paced, high-volume service department.
