Our Agency is seeking a motivated, dependable, and customer-focused Front Office Administrator with Marketing & Community Outreach Coordinator Experience to join our growing home care team.
This position combines traditional front office and administrative responsibilities with marketing, community outreach, and business development activities. We are looking for someone who enjoys working with people, has strong communication skills, is comfortable with technology and social media, and is willing to support our clients and caregivers whenever needed.
Position Summary
The Front Office Administrator serves as one of the first points of contact for clients, caregivers, referral partners, and visitors. This individual will assist with daily office operations while helping grow the agency through social media marketing, community engagement, relationship building, and outreach initiatives.
The ideal candidate is organized, self-motivated, professional, and capable of balancing administrative tasks with marketing and customer service responsibilities.
Primary Position Functions:
Essential Administrative Duties Front Office Operations
- Answer and direct incoming phone calls
- Greet clients, visitors, and applicants
- Manage office correspondence and emails
- Schedule appointments and interviews
- Assist with employee onboarding paperwork
- Maintain personnel and client files
- Scan, upload, and organize documents
- Assist with payroll and timesheet collection
- Monitor office supplies and inventory
- Assist management with daily administrative tasks
Client & Caregiver Support
- Respond to caregiver and client inquiries
- Assist with schedule updates and changes
- Communicate important agency announcements
- Support staffing and scheduling functions
- Maintain professionalism and confidentiality
Secondary Position Functions:
Marketing & Community Outreach Responsibilities
Social Media Marketing
- Create and post content on Facebook, Instagram, TikTok, LinkedIn, and other platforms
- Promote agency services, events, hiring opportunities, and community initiatives
- Assist with social media engagement and response management
- Help increase brand awareness and online presence
- Take photos and videos at approved events
Community Outreach
- Attend health fairs, community events, networking events, and business expos
- Distribute marketing materials
- Build relationships with local organizations and referral sources
- Represent the agency professionally within the community
- Assist with recruiting and community awareness campaigns
Business Development Support
- Help identify new networking opportunities
- Support referral relationship development
- Maintain outreach tracking logs
- Assist with special marketing projects
Client Support Expectations
Occasionally, emergency situations may arise where a client's assigned caregiver is unavailable.
Qualified candidates must be willing to:
- Assist with emergency staffing coverage when necessary
- Provide non-medical caregiver support when trained and assigned
- Travel locally when needed
- Support continuity of care for agency clients
This responsibility is only occasional and may not be required regularly.

- Previous administrative or office experience
- Customer service experience

- Experience in healthcare, home care, staffing, or customer service preferred
