This position will provide administrative support to the estimating department.
Essential functions of the job include, but are not limited to:
Secretarial Support
- Take dictation and prepare various correspondence.
- Manage and maintain the estimating calendar, schedule appointments, bid funnels, and coordinate meetings.
- Screen, prioritize, and handle incoming calls, emails, and correspondence.
- Prepare, proofread, and format letters, memos, and other professional documents on behalf of the estimating department.
- Provide timely reminders regarding deadlines, bid submissions, and key commitments.
- Perform general clerical tasks such as scanning, copying, faxing, and mailing.
- Serve as a liaison between the estimating department and internal staff, clients, and vendors, project managers, and project manager administrators.
- Anticipate needs and proactively support the estimating department in day-to-day activities.
Estimating Department Administrative Support
- Participate in client meetings to gather estimating requirements and assess scope of work in support of the estimating department.
- Assist in preparing preliminary cost estimates based on site visits and documentation.
- Assist with proposal preparation, pricing coordination, and submission to general contractors and government agencies.
- Obtain subcontractor pricing based on defined scopes of work.
- Obtain pricing for transportation and disposal of various demolition waste streams, including concrete, brick, CMU, asphalt, and C&D materials, from landfills, recycling facilities, and treatment centers.
- Assist with the interpretation of project specifications and scopes of work related to demolition and environmental services to assist in preparing accurate estimates.
- Attend site visits, collect relevant information, and prepare Requests for Information (RFIs) to support estimate development.
Qualifications
- Upper education.
- Minimum of two years of secretarial and administrative experience.
- Must speak, read, and write English fluently.
- Experience taking dictation.
- Excellent typing skills (70 WPM or greater).
- Basic understanding of construction estimating workflows and terminology.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and communication skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
Preferred (Not Required)
- Bilingual in English and Spanish.
- Experience in commercial construction project management or support roles.
- Familiarity with estimating management software (BuildingConnected, ConstructConnect. ProCore, SmartBid, and other possible GC bidding platforms)
- Knowledge of OSHA safety regulations and applicable government and state regulations.
- Experience coordinating subcontractors and vendor relationships.
- Demonstrated track record of successful estimating support in the construction business.

Pay: $50,000.00 - $60,000.00 per year
