OVERVIEW:
The Program Coordinator supports the execution of a staffing program for assigned accounts by managing administrative processes, coordinating candidate and employee activities, and ensuring data accuracy across systems. This role acts as a key operational partner to the Program Manager, contributing to program efficiency and a positive client and associate experience.
This position is not onsite and does not carry full program ownership but plays a critical role in maintaining day-to-day program operations.
RESPONSIBILITIES AND DUTIES:
- Program & Operational Support
- Support the Program Manager in the day-to-day administration of assigned accounts.
- Coordinate and manage walk-in activity for designated clients (e.g., WiWynn and other El Paso clients as needed).
- Execute and support lockdown processes in alignment with client requirements.
- Schedule interviews and track attendance, ensuring a smooth and timely candidate experience.
- Assist with delivery tracking to ensure visibility to progress, without direct ownership of fulfillment.
- Systems & Data Management
- Create and manage job requisitions in Bullhorn, ensuring accuracy and completeness.
- Process and approve placements in Bullhorn in alignment with program guidelines.
- Maintain accurate and up-to-date records across systems, ensuring data integrity.
- Run and support ad hoc reporting in partnership with the Program Manager to inform program performance.
- Payroll & Administrative Functions
- Manage and process payroll activities for assigned accounts (e.g., WiWynn), ensuring accuracy and timeliness.
- Partner with internal teams to resolve timecard discrepancies and payroll-related inquiries.
- Candidate & Client Experience
- Provide a high level of customer service to candidates, associates, and internal stakeholders.
- Partner with recruiters and program leadership to ensure a seamless onboarding and employment experience.
- Communicate clearly and professionally with stakeholders to support program success.
- Collaboration & Support
- Work closely with the Program Manager to escalate issues, provide updates, and support program goals.
- Collaborate with recruiting, payroll, and operations teams to ensure alignment and efficiency.

QUALIFICATIONS:
- 1+ years of experience in staffing, HR, or administrative support role (light industrial or high-volume staffing preferred)
- Experience with ATS/CRM systems (Bullhorn preferred)
- Proficiency in Microsoft Office or Google Suite (Excel/Sheets required)
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment

PHYSICAL DEMANDS/REQUIREMENTS:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. On occasion, duties may require the wearing of proper safety equipment in areas where such equipment is required. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit, stand; walk; use hands to finger; handle or feel; and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
WORK ENVIRONMENT:
This position requires the flexibility to work in person and from home. Balance reserves the right to require in person work when necessary. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing duties of this job, the employee can be expected to work flexible hours, including before or after regular business hours.

Pay: $41,000.00 - $54,000.00 per year
