Overview
We are seeking a highly organized, professional, and proactive Business Manager / Executive Assistant to support the CEO in overseeing multiple businesses and daily operations. This is a fast-paced position that requires exceptional organizational skills, strong communication, professionalism, discretion, and the ability to successfully manage multiple priorities at once.
The ideal candidate will serve as the primary point of coordination between the CEO and several businesses, ensuring day-to-day operations run efficiently while maintaining excellent communication across all departments.
This position provides a unique opportunity to gain experience managing operations across several industries, including a preschool, restaurant, tax office, event venue, spa, newspaper, and additional business ventures.
Responsibilities
- Serve as Executive Assistant to the CEO, providing daily administrative and operational support.
- Oversee daily communication between multiple businesses owned by the CEO.
- Manage company email accounts and respond professionally to clients, vendors, and business partners.
- Schedule meetings, interviews, appointments, and company events.
- Coordinate calendars and ensure the CEO remains informed of upcoming commitments.
- Assist with hiring by scheduling interviews, communicating with applicants, and coordinating onboarding.
- Work closely with leadership teams across each business to maintain efficient operations.
- Manage employee timesheets and administrative communication for the preschool.
- Assist with project management and ensure deadlines are met across multiple businesses.
- Prepare reports, letters, business correspondence, and professional documents.
- Maintain confidential information with the highest level of discretion.
- Identify operational improvements and assist in implementing efficient systems and procedures.
- Prioritize competing responsibilities while remaining calm under pressure.
- Provide outstanding customer service and maintain positive relationships with clients and staff.
- Support marketing initiatives and assist with special projects as assigned by the CEO.
- Perform additional administrative and operational duties as needed.
Experience
- Previous experience as a Business Manager, Executive Assistant, Office Manager, Operations Manager, or similar leadership role preferred.
- Excellent organizational and time-management skills.
- Ability to manage multiple businesses and projects simultaneously.
- Strong written and verbal communication skills.
- Professional demeanor with excellent interpersonal skills.
- Ability to remain calm and productive in a fast-paced environment.
- Experience managing calendars, scheduling meetings, and coordinating multiple priorities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Experience with payroll, employee scheduling, or timesheet management is a plus.
- Strong problem-solving and decision-making abilities.
- Ability to work independently while anticipating the CEO's needs.
- High level of integrity, confidentiality, and professionalism.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Management, or a related field (preferred but not required).
- Experience working in multiple industries or supporting executive leadership.
- Experience with human resources, recruiting, or office administration.
- Experience managing business communications and customer relations.
Compensation & Benefits
- Pay: Competitive hourly wage or salary based on experience.

Pay: $45,000.00 - $60,000.00 per year
