Lola J. Aesthetics is seeking a part-time Patient Experience & Social Media Coordinator who is organized, personable, creative, and passionate about delivering an exceptional patient experience.
As the first point of contact for our practice, you'll play a key role in creating a welcoming, seamless, and professional environment for every patient who walks through our doors. Beyond front desk responsibilities, you'll help bring our brand to life by capturing content, creating engaging social media posts, and supporting the day-to-day operations of our growing practice.
We're looking for someone with excellent communication skills, strong attention to detail, a positive attitude, and a willingness to jump in wherever needed. The ideal candidate thrives in a fast-paced environment, enjoys interacting with people, and takes pride in keeping both the office and our online presence looking their very best.
Preferred Start Date: As soon as possible or no later than the end of August.
ResponsibilitiesPatient Experience
- Greet patients warmly and ensure a polished, luxury front desk experience.
- Manage appointment scheduling, confirmations, and patient check-in/check-out.
- Answer incoming phone calls professionally and efficiently.
- Return phone calls, text messages, emails, and online inquiries promptly and professionally.
- Process payments, memberships, gift cards, retail purchases, and promotions accurately.
- Assist patients with questions regarding services, products, pricing, office policies, and pre/post-treatment instructions.
- Support providers and staff with daily operations to maintain smooth patient flow.
Social Media & Marketing
- Capture high-quality photos and videos throughout the day.
- Create engaging Instagram Stories, Reels, and behind-the-scenes content.
- Assist with planning and scheduling social media content.
- Use Canva to create graphics, promotional materials, event flyers, and marketing pieces.
- Help showcase treatments, products, events, and office culture while maintaining the Lola J. Aesthetics brand.
- Stay current on social media trends and contribute creative ideas to grow our online presence.
Office Support
- Maintain a clean, organized, and visually appealing front desk, waiting room, retail displays, and common areas.
- Assist with stocking retail products and office supplies.
- Help prepare the office for events, promotions, and monthly specials.
- During downtime, proactively organize, tidy, clean, and complete projects that help keep the practice running efficiently.
- Support providers and teammates wherever needed throughout the day.
Qualifications
- Previous front desk, receptionist, or customer service experience preferred.
- Experience in a medical, aesthetic, or spa setting is a plus.
- Experience creating content for Instagram, Facebook, or TikTok preferred.
- Experience using Canva is strongly preferred.
- Comfortable using scheduling software, EMR systems, and point-of-sale platforms.
- Excellent written and verbal communication skills.
- Highly organized with exceptional attention to detail and the ability to multitask.
- Comfortable capturing photos and videos using an iPhone.
- Dependable, proactive, professional, and team-oriented.
- Passion for aesthetics, skincare, beauty, and exceptional customer service.
