Position Summary
The Administrative Assistant supports customer order management, production scheduling, and customer communications. This position plays a critical role in ensuring orders are processed accurately, customer requirements are met, and delivery commitments are communicated effectively. The ideal candidate will be proactive, customer-focused, and comfortable working in a fast-paced manufacturing environment.
Essential Duties and Responsibilities
- Follow up on customer orders to ensure pricing, order details, and delivery requirements are accurate.
- Communicate with customers regarding order status, shipment schedules, and delivery updates.
- Prepare and distribute on-time delivery reports to customers.
- Monitor customer portals and websites for new orders, updates, required actions, and missing information.
- Review customer websites for potential discrepancies, incomplete datea, or documentation requirements and follow up as needed.
- Process and verify customer order confirmations.
- Update rquested due dates and make order date changes with the ERP system while maintaining communication with customers and internal departments.
- Review job routings and manufacturing documentation to ensure all required information is complete and accurate before production.
- Verify that customer-supplied materials are properly identified, documented, and available for scheduled jobs.
- Coordinate with production, planning, purchasing, and shipping departments to resolve order-related issues.
- Maintain accurate customer records, order files, and production documentation.
- Prepare routine reports and assist with data entry and administrative support tasks.
- Answer customer inquiries promplty, professionally through email and phone communication.
Required Qualifications
- Minimum of 2 years of administrative, customer service, or manufacturing support experience.
- Ability to work independently and collaboratively.
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills.
- Proficiency in Microsoft office, including outlook, excel, and word.
- Ability to manage multiple priories and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Experience working with ERP systems and customer portals is preferred.
- Manufacturing or job-shop experience.
- Experience handling customer scheduling and delivery requests.
