We are seeking a detail-oriented and proactive Administrative Assistant to support our Administrative Manager. The ideal candidate will possess strong organizational, communication, and multitasking skills, with the ability to support administrative operations, marketing initiatives, and project documentation activities.
Key Responsibilities
Administrative Support
- Assist with preparing reports, correspondence, and other administrative tasks
- Coordinate general office communications and daily operations
- Handle data entry tasks accurately using spreadsheets, Microsoft Office, and other productivity software
- Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
- Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software
Human Resource and Payroll Support
- Assist with compiling and preparing bi-weekly payroll
- Provide support to employees as needed
Marketing Support
- Help create and update company brochures, presentations, and other marketing materials
- Maintain and update company websites and social media platforms
Research and Documentation Support
- Assist with proposal preparation, including content development, and proofreading documents.
- Conduct research into new Requests for Proposals (RFPs) and future business opportunities
Qualifications:
- Effective organizational and communication skills
- Tech-savvy with the ability to multitask and prioritize tasks
- Strong computer literacy, including proficiency in Microsoft Suite (Word, Excel, Outlook, and PowerPoint) and Canva or other illustrator-like applications
- Previous office experience or administrative roles that involved clerical tasks, client communication, or medical/dental receptionist duties are advantageous
- Strong time management skills combined with attention to detail to ensure accuracy in all responsibilities
- Associate’s degree preferred; administrative experience strongly valued
