Overview
This family-owned marine logistics firm supports reliable marine operations by transporting people, supplies, and parts to and from ships. We are seeking a highly organized and proactive Dispatcher/Schedule Coordinator who can manage multiple jobs simultaneously, coordinate schedules, track the movement of personnel and projects, and receive information via radio, phone, email, and in-person communication. This is a fast-paced dispatch role that requires strong organization, clear communication, sound decision-making, precision, and teamwork.
GENERAL DUTIES
· Develop and execute dynamic daily schedules for vessel crews, equipment, shipments, deliveries, and customer service needs across four geographically separated ports, a maintenance facility, and a warehouse in Washington.
· Consider all relevant factors, including crew qualifications, equipment capabilities, weather conditions, and available time when making scheduling and tasking decisions.
· Coordinate real-time changes to personnel, cargo, shipping, and receiving activities while ensuring seamless communication between vessel crews, maintenance personnel, carriers, suppliers, customers, service providers, and internal operations staff.
· Prepare and maintain accurate job documentation, reports, billing records, shipping documents, shipment details, inventory records, and customer order information.
· Monitor shipments, transportation routes, schedules, and operational workflows to provide real-time updates, resolve issues or delays, and identify bottlenecks that may affect service.
· Assist with fleet management activities, including coordinating vehicle maintenance and repairs when needed.
· Manage travel and lodging arrangements for crews and equipment temporarily assigned to different ports.
· Serve as the point of contact for emergency situations involving vessels and crews.
· Provide clear, consistent, and professional communication and customer service while addressing inquiries and resolving shipping- or dispatch-related concerns.

SKILLS AND ABILITIES
· Ability to communicate effectively in English with management, vessel crews, and customers.
· Ability to prioritize multiple tasks and organize solutions into an efficient company work schedule.
· Strong computer skills, including proficiency with Word, Excel, Outlook, transportation management systems, and internal database systems.
· Familiarity with systems such as SyteLine, AS400, Oracle Transportation Management, or similar logistics platforms is preferred.
· Proficiency using multi-line telephone systems and radios to communicate with customers and crews.
- Ability to understand complex verbal and written instructions.
· Ability to work all shifts, including evenings, nights, and weekends; flexibility with work hours is required.
· Strong attention to detail and the ability to translate complex requests into organized, actionable tasks.
· Strong problem-solving skills and the ability to address operational issues or delays in a fast-paced transportation environment.
· Ability to review schedules, workflows, and transportation data to recommend practical process improvements.
QUALIFICATIONS
· High school diploma, GED, or equivalent required; additional education or certification in logistics, supply chain management, maritime operations, military transportation, or brokerage is preferred.
· Two years of dispatching, logistics coordination, or shipment scheduling experience in a fast-paced environment with complex personnel, equipment, or transportation scheduling responsibilities.

Ability to commute/relocate:
· Port Angeles, WA 98363: Must reliably commute or be willing to relocate with an employer-provided relocation package. Required.
