We are seeking a dynamic and bilingual Office Assistant specialized in Insurance and DMV services to join our vibrant team. Responsibilities
- Greet visitors and clients at the front desk with professionalism and warmth, providing exceptional customer service.
- Manage multi-line phone systems to answer inquiries, direct calls, and schedule appointments efficiently.
- Assist clients with insurance documentation, DMV transactions, and related paperwork, ensuring accuracy and compliance.
- Maintain organized filing systems for client records, insurance documents, and DMV forms, both digitally and physically.
- Utilize computer skills to perform data entry, update databases, and generate reports using Microsoft Office and Google Workspace tools.
- Support office management tasks such as calendar management, appointment scheduling, and supply inventory control.
- Handle clerical duties including proofreading documents, managing correspondence, and ensuring timely follow-up on client requests.
Qualifications
- Bilingual proficiency in English and Spanish (or other relevant languages) is required to effectively communicate with diverse clientele.
- Prior office experience in administrative support, clerical work, or customer service is highly preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks (preferred), and data entry skills.
- Excellent organizational skills with the ability to multitask efficiently in a busy environment.
- Familiarity with office management procedures such as filing systems, calendar management, and phone etiquette.
- Demonstrated attention to detail through proofreading documents and managing accurate records.
