Job Purpose:
Supports office operations by maintaining office systems and communications. Duties:
- Maintains office services by regulating office operations and procedures; controlling correspondence; completing and monitoring clerical functions.
- Independently performs a wide variety of complex office management responsibilities with minimal supervision.
- Establishes and maintains positive working relationships with the public, supervisors, and co-workers.
- Maintains and monitors office communications. Answers incoming phone calls, routes calls, take messages, answers routine questions, and monitors follow-up by answering phone line for Lewis County Extension Office. Write down phone messages with the name of the individual calling, date, time and contact information; plus additional information as appropriate.
- Processes mail: collects, distributes and outgoing. Takes the daily mail to the Nezperce Post Office each day, maintaining a stamp inventory, address labels for each department and envelopes.
- Maintains office calendar. Establishes a monthly calendar for the Extension Office, monitors appointments, updates changes, and schedules meeting room use and reserving other rooms in the Courthouse with the appropriate individual.
- Develops thorough understanding of departmental functions.
- Efficiently use office computer and common office software programs such as Word, Excel, PowerPoint, Access and Publisher.
- Reviews and edits written correspondence and other written materials when requested.
- Competent operation of office copy, bindery, FAX, and audio-visual equipment.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks.
- Achieves financial objectives by assisting with the preparation of an annual budget, in cooperation with department heads; scheduling expenditures; analyzing variances; advises department head of corrective actions.
- Manages financial records of offices; prepares accurate monthly financial statements and pays bills according to official county procedures.
- Maintains correspondence and information files accurately and efficiently.
- Contributes to team effort by accomplishing related results as needed.
- Manages time in cooperation with department heads to minimize comp time accumulation.
- Manages office supplies inventory, for example toner - when the last toner is put in the copier, order toner. When the last ream of paper is put in the copier, take the paper carrier to the Sheriff’s Office closet and retrieve a new box of paper. If you are unable to do it due to time constraints or other issues, please let someone else in the office know you just put the last toner, paper, etc. and it needs ordered, purchased or picked up.

- Ability to efficiently organize large volumes of work and meet deadlines, remaining focused in spite of interruptions related to public and office communications.

- High school diploma or equivalent. Work experience desirable. Additional secretarial/clerical/management training useful.
