About the Role:
Seneschal Family Office is seeking a hospitality-focused professional to join our growing team as a Client Experience Coordinator. The Client Experience Coordinator plays a vital role in creating a warm, welcoming, and professional experience for everyone who interacts with the firm.

Day-to-day, you will support the operations of the office, oversee event coordination, vendor management, facilities oversight, provide administrative support, and assist with various client service initiatives.
Duties and Responsibilities:
· Client Experience and Relationship Building
o Deliver a warm, welcoming, polished, and professional experience for all, including clients, guests, business partners, and team members
o Serve as the first point of contact for incoming calls, office visitors, mail, and general office communications
o Build and maintain positive working relationships with clients, vendors, professional partners, and colleagues across generations, personalities, and backgrounds
o Maintain confidentiality, exercise discretion, and handle sensitive client and firm information with professionalism and care
· Client Service and Administrative Coordination
o Coordinate client communications, account-related requests, and deposit processing activities with team members and clients in a timely manner
o Prepare quarterly reporting materials, mailings, client distributions, and other client-facing deliverables
o Support committee reporting and other recurring administrative projects that contribute to a seamless client and team experience
· Events, Gifting, and Hospitality Coordination
o Serve in a key role on the Client Experience Committee to plan and execute client appreciation events, professional networking events, team gatherings, and holiday celebrations
o Manage gifts, event logistics, vendor relationships, hospitality details, and related follow-through to ensure thoughtful and well-executed experiences
· Office Operations and Facilities
o Maintain efficient office operations and facility needs, including supply ordering, postage services, equipment coordination, recycling programs, workplace organization and overall office services
o Identify opportunities to improve processes, enhance efficiency, and support the continued growth of the firm
· Financial and Firm Administration Support
o Coordinate processing of payables with bookkeeper
o Assist with annual audits, special projects, and firm initiatives
o Provide occasional support for branded communications, including simple social media or event-related materials
Required Knowledge, Skills, and Abilities:
· Knowledge of general office administration and business operations
· Knowledge of professional business communication practices
· Basic understanding of accounts payable, expense management, and financial administrative processes
· Knowledge of client service and hospitality principles
· Strong organizational and time management skills
· Excellent verbal and written communication skills

Education and Experience:
· Associate's or Bachelor's degree preferred; or an equivalent combination of education and relevant professional experience
· 5+ years of experience in high-touch client service, such as office management, executive administration, hospitality, financial services, professional services, or a related environment. RIA or wealth management experience is a plus, but not required for the right candidate
· Proficiency with Word, Excel, PowerPoint, OneNote, Outlook, Adobe, and Zoom; adaptive learner in an on-the-job setting for a variety of position-specific technology systems
Preferred Qualifications
· Experience or familiarity with Salesforce
· Familiarity with financial institutions, such as Charles Schwab & Co., Inc.
· Accounting and/or bill pay experience
· Leadership or hospitality-related accomplishments

We are seeking to add a talented Client Experience Coordinator to our team who brings experience working in an office environment and/or hospitality, along with strength in both the technical and relational aspects of serving affluent individuals and families.

The Client Experience Coordinator is a highly organized and dependable professional with strong judgment and non-negotiable integrity. The successful candidate will have five or more years of experience in high-touch client service, office management, executive administration, hospitality, financial services, professional services, or a related environment. RIA or wealth management experience is a plus but not required for the right candidate.
The ideal candidate is a self-starter who can manage competing priorities with accuracy and discretion, communicate effectively across teams, and take pride in keeping operations running smoothly. A proactive mindset, strong attention to detail, and the ability to handle confidential information with professionalism are essential to success in this role.
