Position Summary
We are seeking a highly detail-oriented and accountable Accounting Clerk to support the financial operations of our trucking company. This role plays a critical part in maintaining accurate financial records, ensuring proper internal controls, and safeguarding company assets.
The ideal candidate will have experience in high-volume transaction environments and understand the importance of reconciliation, documentation, and compliance within the transportation industry.
Key Responsibilities
Accounts Payable & Vendor Controls
- Process and verify vendor invoices for fuel, parts, maintenance, repairs, tolls, and operational expenses
- Reconcile parts purchases to purchase orders, receiving documents, and vendor statements
- Reconcile mechanic shop expenses, ensuring labor and parts are properly coded and allocated to the correct equipment
- Reconcile vendor statements monthly, investigate discrepancies, and resolve billing issues
- Ensure proper approval and documentation is obtained prior to payment
- Maintain organized and audit-ready records of all transactions
Driver Settlements & Payroll Support
- Review, verify, and reconcile driver settlements, including fuel deductions, tolls, cash advances, maintenance chargebacks, and escrow accounts
- Identify discrepancies or unauthorized deductions and escalate as necessary
- Ensure settlements are processed accurately and in compliance with company policies
Reconciliations & Financial Accuracy
- Perform bank and credit card reconciliations
- Reconcile fuel card transactions to internal reports
- Assist with freight billing reconciliation and AR aging review
- Support month-end closing by ensuring all transactions are properly recorded
- Maintain detailed reconciliation schedules for audit purposes
Internal Controls & Compliance
- Follow established accounting procedures and internal control policies
- Maintain segregation of duties and protect confidential financial information
- Assist with preparation for internal or external audits
- Support compliance with transportation-related financial reporting requirements (including IFTA data tracking support)
- Identify process improvement opportunities to reduce errors and prevent fraud
Qualifications
- High school diploma or GED required; Associate’s degree in Accounting or related field preferred
- 2+ years of accounting, bookkeeping, or AP/AR experience (trucking or logistics experience strongly preferred)
- Strong reconciliation and problem-solving skills
- Experience handling high-volume vendor accounts
- Proficiency in Microsoft Excel
- Experience with accounting or transportation software (QuickBooks, Allways Track, or similar) preferred
- High level of integrity and ability to maintain confidentiality
- Strong organizational skills and ability to meet deadlines
Preferred Skills
- Familiarity with IFTA reporting and fuel tax tracking
- Experience with fuel card platforms (Comdata, EFS, etc.)
- Knowledge of fleet maintenance cost allocation
- Experience supporting audit processes
