EXECUTIVE ASSISTANT (Full-Time, non-exempt)
The Hochstein School seeks a full-time Executive Assistant to the President who will report to the Hochstein President/Executive Director. They will provide Board, clerical, and event support for the President/Executive Director, as well as facilitate rental of Hochstein performance spaces in collaboration with the Director of Operations. They will work regularly with Hochstein staff and faculty, facility renters, members of the Board, and members of the public. The ability to work with confidential information is essential.
Regular hours for this position will be Monday-Friday, 9:00am-5:00pm, 35 hours per week. Occasional hours outside these office hours are required to provide support for School events (e.g. morning, evening, or weekend hours). Work hours will be flexed in these instances of events outside of regular work hours.
● Board of Directors support, including:
○ Preparing materials and anticipated attendance for Board and committee meetings, collecting minutes, and arranging lunches/hospitality for in person meetings
○ Scheduling meetings for the President and Board committees as needed
● Clerical support of the President/Executive Director, including:
○ Assisting the President/Executive Director with communications and special projects
○ Answering the phone for the offices of the President and Development
○ Working with President/Executive Director on confidential matters such as faculty contracts and annual faculty evaluations by students
○ Collecting program information, contracts, etc. from faculty members, students, parents, and renters as necessary
○ Compiling information for successful execution of the Live from Hochstein and Spotlight on Faculty series, as well as the David Hochstein Recital Competition Winner’s Recital and Honors Convocation; working in collaboration with Marketing, Development, Operations, and Dean Staff.
○ Managing and maintaining the office supply inventory for Hochstein staff
● Event support, including:
○ Working with the Director of Operations to schedule and support all rental events held in the Hochstein Performance Hall, Hilda D. Taylor Recital Hall and the Hochstein Chapel
○ Facilitating post-event receptions (including 6 Spotlight on Faculty Series concerts) and general hospitality as necessary
○ Management of BMI, ASCAP, and SESAC licensing
● Other duties as assigned
● Associate’s Degree with relevant experience required, Bachelor’s Degree preferred
● At least 2 years related experience, preferably in an arts, education, events, and/or nonprofit environment
● Strong attention to detail
● Ability to anticipate needs and take initiative
● Superior organizational and communication skills, both written and oral
● Strong skills in Microsoft Office and Google Suite; experience building Cognito Forms desirable
● Strong interpersonal skills and a friendly personality
● Demonstrated ability to work at a fast pace and manage multiple projects simultaneously
● Ability to handle confidential and sensitive information appropriately
● Keen interest in Hochstein’s mission and programs
● Personal vehicle and valid driver’s license required
Salary Range: $43,000-$49,000 annually
