Position Overview :
We are seeking a detail-oriented and organized Vehicle Documentation Coordinator to join our team. This role is essential in ensuring accurate processing of vehicle documentation, maintaining compliance with export procedures, and delivering excellent customer service throughout the shipping process.
The ideal candidate is proactive, highly organized, comfortable multitasking, and confident communicating with both clients and internal departments.
Key Responsibilities :
- Receive, organize, and manage vehicle documents and keys
- Verify the accuracy of titles, invoices, powers of attorney, IDs, and shipping documents
- Maintain accurate vehicle and client records
- Identify and report additional charges such as storage fees
- Send warehouse receipts and vehicle photos to clients
- Ensure customs and export documentation is complete and compliant
- Communicate with clients regarding document status and shipment updates
- Resolve missing or incorrect documentation within established timelines
- Coordinate with logistics, warehouse, and reception teams to ensure smooth operations
- Maintain confidentiality and compliance with company procedures
Qualifications :
- Strong attention to detail and organizational skills
- Ability to multitask and prioritize in a fast-paced environment
- Excellent verbal and written communication skills
- Customer-service oriented mindset
- Bilingual in English and Spanish (required)
- Basic computer proficiency
Preferred Qualifications :
- Experience with Magaya or similar export/logistics systems
- Background in logistics, freight forwarding, or documentation processing
- Familiarity with export compliance and international vehicle shipping
