Responsible for assisting the Office in overall administration, planning, organizing and coordinating the daily operations to ensure quality patient care. RESPONSIBILITIES

- Compensation: $23/Hour starting Reports To: CEO/Administrator Position Overview: The Administrative Assistant plays a vital role in supporting the daily operations of a specialized Pain Management practice. This position requires a highly organized, detailoriented professional who can manage administrative responsibilities with efficiency, discretion, and a commitment to patient-centered service. The successful candidate will exhibit a high degree of professionalism, confidentiality, and adaptability in a fast-paced clinical environment.
- Primary Responsibilities: • Assist Management in daily operations as needed. • Answer and direct incoming telephone calls; relay messages accurately and promptly • Collect and process copayments and assist with basic billing inquiries • Prepare and organize required documentation for patient visits and procedures • Manage office correspondence, including emails, faxes, and physical mail • Support clinical and administrative staff with clerical tasks such as data entry, scanning, and filing • Process Payroll for Staff twice per month • Verify payment on invoices from vendors • Provide 401k maintenance as needed • Perform backround checks on new staff as needed • Assist with uploading invoices into Bill.com • Assist in maintaining inventory of office supplies and ensuring a clean and organized work environment • Reviewing, analyzing, recommending and implementing employee benefit plans.
- Qualifications: • High school diploma or equivalent required; associate degree or completion of a formal administrative training program preferred • Minimum of 1–2 years of administrative experience in a medical or healthcare setting, preferably in pain management or a related specialty • Proficiency in the use of electronic medical records systems (e.g., Athenahealth, eClinicalWorks, Epic) • Strong working knowledge of medical terminology, HIPAA regulations, and insurance protocols • Excellent verbal and written communication skills • Strong organizational skills and attention to detail • Demonstrated ability to handle confidential information with the utmost integrity • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Preferred Qualifications: • Prior experience in a pain management, orthopedic, or physical medicine practice • Bilingual fluency in English and [Spanish or other language], preferred • Familiarity with medical billing practices and insurance verification procedures Working Conditions: • Office-based, clinical environment with frequent patient interaction • Regular working hours with potential for occasional extended hours depending on clinical demand • Requires extended periods of sitting, standing, and use of office equipment Compensation and Benefits: • Competitive salary, commensurate with experience • Comprehensive health benefits (medical, dental, vision) • Paid time off (vacation, sick leave, holidays) • 401(k) retirement plan with employer contribution • Opportunities for continuing education and professional development 6.
