Position Summary
We are seeking a highly organized, motivated, and detail-oriented Office Assistant Administrator to join our team. This position plays a critical role in supporting daily business operations, project administration, payroll processing, billing, collections, and communication with contractors, vendors, and clients.
The ideal candidate is bilingual (English/Spanish), professional, dependable, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage daily office operations and administrative tasks.
- Prepare and issue weekly payroll and subcontractor payments.
- Coordinate check preparation, deposits, and banking activities.
- Follow up on outstanding invoices and collections from contractors and clients.
- Assist with billing, invoicing, and accounts receivable.
- Maintain and organize company records, files, and documentation.
- Answer and direct phone calls professionally.
- Respond to emails and communicate with customers, vendors, and contractors.
- Prepare reports, spreadsheets, and project documentation.
- Assist with insurance payments, company expenses, and vendor accounts.
- Order office supplies, food, and other company necessities.
- Manage inventory and track materials, equipment, and office supplies.
- Support project managers with administrative needs and deadlines.
- Coordinate meetings and maintain company calendars.
- Ensure tasks are completed accurately and within deadlines.

- Bilingual in English and Spanish (Required).
