Accounts Receivable & Billing Specialist
Vulcan Fire Systems, Inc. is seeking a highly organized, detail-oriented Accounts Receivable & Billing Specialist to join our growing team. This position reports directly to the Controller and works closely with the Sales, Service, and Accounts Payable teams to support the financial operations of the company.
Primary Responsibilities
- Prepare and process customer invoices for inspections, service work, monitoring accounts, and construction projects.
- Process AIA pay applications and submit invoices through customer billing portals.
- Set up new projects and maintain complete job documentation.
- Post customer payments (ACH, checks, and credit cards) and reconcile accounts receivable.
- Monitor aging reports and communicate with customers regarding outstanding balances.
- Resolve billing discrepancies and provide customers with requested documentation, including W-9s, Certificates of Insurance, lien waivers, and ACH information.
- Collaborate with the Sales, Service, and Accounts Payable teams to ensure accurate billing, job costing, and project documentation.
- Maintain customer records, pricing updates, and other accounting data.
- Assist with daily bank deposits and provide general accounting support as needed.
Qualifications
Required
- High school diploma or GED.
- Accounts receivable and billing experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Excel.
- Ability to maintain confidentiality and handle sensitive financial information.
Preferred
- Five (5) or more years of accounts receivable and billing experience.
- Experience in the construction, fire protection, mechanical contracting, or similar service.
- Experience with AIA billing and customer billing portals.
- Experience with ComputerEase and/or Deltek accounting software.
