SUMMARY: The Finance Manager at Patriot PAWS Service Dogs reports directly to the Executive Director and is responsible for managing the financial health and sustainability of the organization. This role oversees payroll, budgeting, accounting, financial reporting, and compliance to support Patriot PAWS’ mission of providing service dogs to disabled American veterans. The Finance Manager ensures that financial practices are in alignment with legal, regulatory, and ethical standards while providing accurate and timely financial information to leadership. The ideal candidate is highly detail-oriented, analytically rigorous, and committed to providing accurate, timely financial information leadership needs to make sound decisions for the organization.
ESSENTIAL FUNCTIONS
- Lead the development and oversight of annual organizational and programmatic budgets.
- Prepare timely monthly, quarterly, and annual financial reports and forecasts, including timely month-end close.
- Maintain accounting systems, policies, and internal controls to ensure accuracy and integrity of financial data.
- Ensure compliance with federal, state, and local laws, including GAAP and IRS regulations applicable to nonprofits.
- Ensure timely filing of all required state registrations and nonprofit compliance filings.
- Serve as the staff liaison for the Board Finance Committee and prepare materials for board meetings.
- Oversee the annual audit process and coordinate with external auditors and CPA firms.
- Administer payroll system and oversee payroll processing staff, ensuring accuracy, timeliness, and compliance with applicable federal and state regulations.
- Manage cash flow, accounts payable/receivable, and general ledger activities.
- Prepare and file tax documents (e.g., IRS Form 990) and maintain nonprofit financial documentation.
- Partner with the Director of Development to provide financial analysis in support of fundraising strategy, grant budgeting, and ROI evaluation of development activities.
- Support development efforts with budget reporting and grant-related financial information.
- Supervise and mentor finance staff, fostering a collaborative and mission-aligned team environment.
- Develop financial strategies that support short-term and long-term organizational goals.
- Collaborate with the Executive Director and department leads to align financial plans with program goals.
- Ensure the organization maintains appropriate insurance policies and risk management practices.
- Maintain client/donor confidentiality by handling sensitive information responsibly, following best practices, and adhering to organizational privacy policies and ethical standards.
- Comply with all related federal, state and local laws and regulations.
JOB REQUIREMENTS AND QUALIFICATIONS
Education
- Bachelor’s degree in Accounting, Finance, or related field required.
Experience
- Minimum of 8 - 10 years of finance and accounting experience, preferably in a nonprofit environment.
- Experience managing audits, budgeting processes, and financial reporting.
- Knowledge of nonprofit accounting practices and IRS regulations (Form 990, restricted funds, etc.).
- Proven experience working with and advising senior leadership and board members.
Skills and Abilities
- Proficiency with accounting software (e.g., QuickBooks) and Microsoft Office Suite; advanced Excel skills preferred and Payroll/HRIS systems.
- Strong analytical, organizational, and problem-solving skills, with the ability to manage multiple priorities and meet deadlines with attention to detail.
- Excellent verbal and written communication abilities.
- Strong leadership and team development skills.
- Ability to maintain professionalism and discretion when handling confidential information.

- Some evening and weekend hours may be required.

Pay: $80,000.00 - $85,000.00 per year
